Most owners have no idea what an hour offline actually costs them.

It gets filed as an IT problem. It isn't. It's a payroll problem. Everyone is still being paid and nothing is moving.

Ten staff, one hour, and you're looking at roughly $1,100 in wages and lost billable time before anyone has even picked up the phone. Then there's the catch-up afterwards, the jobs pushed back, the calls that went unanswered.

None of it arrives as a bill. That's why it never gets budgeted against.

Work out your own number. Staff on shift, times their hourly cost, plus whatever an hour of revenue is worth.

For most Canberra businesses it lands between $800 and $2,000 an hour. Which makes monitoring and backups look very different as a monthly expense.

What's your number? Worth knowing before the next outage rather than after.

πŸ“Œ Save this for your next budget conversation.

Microsoft 365 is not a backup. Most business owners think it is.

Sync is not backup. If a file gets deleted on one machine, that deletion copies everywhere, including the cloud. Ransomware works the same way. It encrypts, and the encrypted version syncs over the good one.

Deleted items sit in the bin for 30 days. After that they're gone. Most people don't notice a missing folder until well after a month has passed.

Microsoft's own agreement is clear. They keep the service running. Your data is your responsibility.

Proper backup costs a few dollars per user per month and takes about an hour to set up. Average cost of a small business data loss is around $8,400 before anyone's time gets counted.

Two things worth checking this week:

1. Do you have a backup separate from Microsoft 365?
2. Has anyone actually tested restoring a file from it?

The second one catches more businesses than the first.

πŸ“Œ Save this and check before you need it.

Most businesses replace laptops about two years before they need to.

The hardware didn't change. The workload did. In 2021 that laptop ran Chrome, Slack and Outlook. Today it's running those plus Teams, Zoom, Copilot, Dropbox, Adobe and thirty tabs nobody has closed since Tuesday.

Ten minutes a day, five staff, is four hours a week. It never shows on an invoice, so it never gets fixed.

Usually it's a $200 fix, not a $2,000 one.

Five things to try first:

1. Turn off startup apps
2. Keep a fifth of the drive free
3. Proper restart weekly, not just the lid
4. Close the tabs you stopped reading
5. Price a drive upgrade before a new machine

How long does your work computer take to actually be usable? Drop the number below.

πŸ“Œ Save this for the next time someone asks for a new laptop.
