Event organisers… it is time to start planning your next event, and you are looking at your previous stats on exhibitor experience and rebookings.

You notice your overall event gets brilliant attendee feedback, but only 20% of your exhibitors rebook.

1. Why are you there?
2. What do you want people to do after they leave your stand?
3. How can you use this opportunity to your advantage?

Logically, they might not make sense to answer in this order, but this is my order of importance.

What is actually expected of an exhibitor?

I hear this next line so often…

“Exhibiting puts me off because I’m not sure what is expected of me or the business.”

And I get it...

Most exhibitors are given information about arrival times, table sizes, electricity, parking and what can or cannot be attached to the walls.

They are rarely given help with the actual strategy.

- What should the stand achieve?
- How should they begin conversations?
- What does a good interaction look like?
- How should they capture information?
- What happens after the event?

You do not need to spend the day aggressively selling to everybody who walks past.

You do not need to put on a fake event personality or perform for eight hours.

You do need a clear purpose, a message people can understand, a reason for the right people to engage and a plan to act afterwards.

How many times have you seen first timers fail at exhibiting?

I see it happen so many times where they have AMAZING products or services, but when it comes to standing at the table on the day, they have zero clue what they are supposed to do.

This doesn’t make them bad businesses or people, but the event organiser has presumed that they don’t need support to get the most out of the opportunity they have been given.

The truth is they probably do need help.

Knowing how to exhibit well is one of those things where, because you have the money to pay for it, it is automatically presumed that you know what you are doing. In reality, it is a skill, and unless you learn how to do it, it doesn’t just come as general knowledge.

Throughout September, I will be sharing hints and tips on how to prepare for exhibiting, but also showing event organisers where they can better support those who need it most.

One thing exhibitors often forget is that the person standing in front of them may not have the authority to buy or be in a position to.

That can feel disappointing when the goal might be to generate sales, but it does not automatically make the conversation useless.

They could know the exact person you need to speak to.
They might work for the right company but need to take the information back to someone else.
They could become a collaborator, referral partner or future client.

This is why I would never judge every event conversation solely on their drive to buy.

I do, however, make sure I segment my leads from ‘good’ conversations. If you have an upcoming exhibition stand, you can assess how prepared you actually are with my Event Strategy Audit!

What do people take away from events?

Hopefully more than a leaflet they will never read again.

What people physically take home and what they mentally take away are two different things.

They may leave carrying a bag full of brochures, business cards, pens and random branded items... but the thing they remember could be a conversation, an idea or the way a stand made them feel.

That is why I think businesses need to consider the takeaway before automatically ordering printed materials and merch.

- What is the one thing you want someone to remember about you?
- What action do you want them to take later?
- What will reconnect them to the conversation once the noise of the event has disappeared?

A leaflet can still do that job, but only when it is clear, useful and connected to the next step.

Simply handing someone more information does not make the interaction more valuable.

Sometimes the best takeaway is not more stuff.
It is a strong reason to remember you.
