Hour one. Nobody has a plan. Devices are restarted. Time passes. The incident spreads.

OR 👉 hour one. The right person is called. Systems are isolated. Recovery begins.

The difference between those two scenarios isn't technology or budget. It's preparation.

This week's TechPulse walks through the first 24 hours after a serious IT incident and what determines the outcome.

There's an important distinction between disaster recovery and business continuity that most small businesses haven't made.

Disaster recovery is about restoring your systems and data. Business continuity is about keeping your business operational while that recovery is underway. A plan that only covers one of them leaves a significant gap.

Most businesses only plan for the first one. The gap between restored systems and a functioning business is where the real damage happens.

Two numbers every business should know:
→ Recovery Time Objective (RTO) — how quickly do you need to be back up?
→ Recovery Point Objective (RPO) — how much data can you afford to lose?

Do you know yours?

Here's something worth sharing with your team today 👉

Most data incidents don't start with a hacker or a cyberattack. They start with someone sending a document quickly between meetings. Autofill picks the wrong contact. A folder gets shared temporarily and nobody removes the access. A leaver still has company files synced on a laptop at home. A document gets deleted and nobody notices until a client urgently needs it.

None of this is malicious. It's just people being busy. And that's exactly what makes it so common and so preventable.

Good security doesn't rely on perfect behaviour. It's designed around human behaviour, catching mistakes before they become incidents.

Swipe through the carousel to see how quickly data loss can happen in a normal working day. And if any of these scenarios sound familiar, it's worth a conversation with Via Wire.

Quick question: when did your business last test whether its backup actually works?

Most businesses have some form of backup in place. Far fewer have ever run a proper restore test to confirm the data is recoverable, the process works end to end, and the right person knows what to do when it matters.

The 3-2-1 rule is the simplest and most effective backup framework: three copies of your data, across two different storage types, with one stored offsite or in the cloud.

But the rule only works if you test it.

Here's a question worth sitting with today: if your business experienced a serious IT incident tomorrow, how quickly could you recover?

Not a minor disruption. A proper incident. Ransomware. A hardware failure. Accidental data deletion. A flood or fire taking out your physical infrastructure.

For most small businesses the answer is more uncomfortable than they'd like to admit. Systems aren't backed up as regularly as they should be. Recovery plans exist in someone's head rather than on paper. And nobody has ever actually tested what would happen.

This week Via Wire is covering business continuity from the ground up: what it means, what it costs when you get it wrong, and what good looks like for a small Essex business. Follow along for the full picture.

Five reasons your business should be on Microsoft 365 E5.

Most SMEs we speak to assume E5 is an enterprise product with an enterprise price tag. But when you look at what it actually includes, and compare it against what your business is currently paying for across multiple tools, the picture often looks very different.

E5 brings advanced security and threat protection, compliance and data protection through Microsoft Purview, AI-powered insights through Power BI and Viva, Teams Phone System for your communications, and cost consolidation that reduces third-party tool reliance across the board.

Everything in one place, properly integrated, and backed by Microsoft's enterprise-grade infrastructure.

Business Premium gets you started. E5 gets you properly set up for growth.

Here's a question worth asking today: if a sensitive file left your business right now, would you know about it?

Without Data Loss Prevention in place, the honest answer for most businesses is no. Sensitive files leave undetected. Staff share client data without realising the risk. Breaches take weeks to surface, if they surface at all. And there's no record of what left, when, or where it went.

With DLP properly configured, the picture is completely different. Sensitive content is tracked and classified automatically. High-risk sharing gets flagged before it reaches the wrong hands. Suspicious activity triggers real-time alerts. And a full audit trail is maintained for compliance and reporting.

Microsoft 365 E5 takes DLP significantly further than Business Premium, extending protection beyond M365 to cover every app and device your team uses, with advanced classification technology that identifies sensitive content without relying on manual labelling.

One unmonitored file. One serious problem.

When employees use public AI tools for work tasks, the data they enter doesn't always stay private. And the types of data most commonly affected might surprise you.

Client information pasted in to help draft an email. Financial figures entered to speed up a report. Legal documents uploaded for a quick summary. HR correspondence used to draft a difficult message. Internal strategy documents entered to help build a presentation.

None of these feel like security incidents in the moment. They feel like someone doing their job efficiently. That's exactly what makes Shadow AI such a significant risk. The exposure is invisible, and by the time it surfaces it's already happened.

Here's a question worth asking in your next team meeting: which AI tools is your team using, and do you know what data they're putting into them?

Shadow AI, the use of AI tools outside of IT oversight, has become one of the most significant data risks for businesses in 2026. Employees use consumer AI tools to work faster, which is understandable. But many of those tools use the content entered into them to train their models. That includes anything your team pastes in: client information, financial data, internal documents, legal correspondence.

The risk isn't that your team is doing something wrong. It's that nobody has told them where the line is. This week Via Wire is covering what Shadow AI is, why it matters, and what businesses can do about it. Follow along for the full picture.
