Copy and Paste in Microsoft Word

In Microsoft Word, you can cut (delete/remove) a particular piece of text from one area or the other of the document and save it so it can be pasted elsewhere in the document. Can also copy an existing text and paste it elsewhere.

When you cut text, it is stored on the clipboard.

One of the most useful skills in Microsoft Word is knowing how to copy and paste text.

Instead of retyping everything, Microsoft Word allows you to copy it once and paste it anywhere you want.

How to Copy Text

Highlight the text you want to copy.
Right-click on the selected text.
Click Copy.

The original text remains in its original position.

How to Paste Text

Place your cursor where you want the text to appear.

Right-click.
Click Paste.
The copied text will appear in the new location.

Ctrl + X

Different Ways to Select (Highlight) Text in Microsoft Word

In our previous lesson, we learned what text selection is and why it is important.

Today, let's take a look at different ways to select text in Microsoft Word.

1. Using the Mouse
This is the most common method.

✅ Place the cursor before or after the text you want to select.

✅ Hold down the left mouse button.

✅ Drag the mouse across the text until the desired portion is highlighted.

Once highlighted, you can format, copy, cut, delete, or edit the selected text.

2. Using the SHIFT Key
This method is useful when you prefer using the keyboard.

✅ Place the cursor before or after the text you want to select.

✅ Hold down the SHIFT key.

✅ Press the Left, Right, Up, or Down Arrow keys until the desired text is highlighted.

3. Selecting the Entire Document
Need to select everything in your document at once.

Simply press:
CTRL + A

This shortcut highlights all the text and objects in the document.

It is useful when you want to:
Change the font style of the entire document
Adjust font size throughout the document
Copy the entire document
Apply formatting to all content at once

Understanding Text Selection in Microsoft Word

Before you can make changes to a word, sentence, or paragraph in Microsoft Word, you must first select it.

Selecting (or highlighting) text tells Microsoft Word exactly what part of the document you want to work on.

Once the text is selected, you can:

✅ Make it Bold

✅ Underline it

✅ Change the font style

✅ Change the font size

✅ Change the text color

✅ Copy, cut, or delete it and many more..

# # # How to Select a Line of Text

Move your mouse pointer to the left side of the line (the margin area).

Click and drag across the line you want to select.

The selected text will appear highlighted.

# # # Using F8 to Select Text

This method is useful when you prefer using the keyboard.

✅ Place the cursor before or after the text you want to select.

✅ Press the F8 key.

✅ Use any of the arrow keys to extend the selection.

The text will become highlighted as you move the cursor.

Without selecting text first, many formatting tools in Microsoft Word will not work on the area you intend to edit.

Now let me ask you one question, don't be shy to say it oh because I know we have all been there at one time or thereabouts
