Google Introduces Workspace Agents AI-Powered Automation Built Into Your Tools
Google has launched a new system of “agents” inside Workspace smart automations powered by Gemini that can read, understand, and take action across Gmail, Drive, Docs, Sheets, Calendar, and more. These agents work directly within your organization’s Workspace environment and follow your existing security and admin settings.
What Workspace Agents Do
Google is rolling out a centralized platform called Google Workspace Studio, where teams can build and manage custom AI agents without any coding. These agents can automate tasks such as sorting emails, handling approvals, updating documents, sending notifications, or coordinating multi-step processes.
Because they run natively inside Workspace, agents can access relevant files, messages, and context—then take actions like drafting replies, labeling emails, updating spreadsheets, creating documents, sending Chat messages, or alerting team members.
Powered by the newest Gemini 3 model, these agents can reason through longer, more complex workflows rather than single-step tasks. You simply describe the outcome you want, and Workspace Studio converts that description into a working agent.
How They Integrate With Workspace
These automations are tied to your organization’s Google Workspace accounts not personal Gmail accounts. Administrators control which users can create or run agents, what apps they can access, and the data rules they must follow. All activities respect your organization’s permissions, compliance policies, and document-sharing settings.
Agents appear directly in the Workspace apps you already use Gmail sidebars, Chat, Docs, Sheets, and automated background workflows triggered by events like receiving a message or reaching a scheduled time.
How Agents Are Built
In Workspace Studio, every agent is designed using three components:
Starters (Triggers): Define when an agent activates—new emails, form submissions, daily schedules, etc.
Steps (Actions): The tasks the agent performs analyzing text with Gemini, drafting responses, updating Docs/Sheets, posting to Chat, calling APIs, and more.
Variables: Dynamic data points like sender information, extracted invoice amounts, classifications, or summaries used throughout the workflow.
Because Gemini handles the reasoning, these agents can detect intent in messages, extract key information from documents or attachments, and route tasks intelligently.
Plans, Add-ons, and Availability
Workspace Studio and agents are rolling out to Business and Enterprise Workspace subscriptions. Most AI-powered features require a Gemini for Workspace or similar add-on, which unlocks advanced capabilities across Docs, Sheets, Slides, Meet, and now these new agent workflows.
Workspace Studio is the no-code automation layer built specifically for Workspace, while the broader Gemini Enterprise ecosystem extends agent capabilities to custom apps and internal data environments.
What You Can Use Them For
Google highlights several popular use cases: automated email sorting, meeting summaries, support or legal document routing, approval pipelines, and “concierge-style” agents that coordinate travel or internal requests. Early adopters are already running tens of millions of automated tasks monthly from simple reminders to deeply complex workflows that previously required manual work or scripting.
