Your AI policy needs to work on a busy afternoon.

Make approved tools easy to find and use.

An employee needs a faster draft.
The approved option is unclear.
A personal AI account is already open.

That is one way shadow AI can begin: people using tools the organization has not approved or reviewed. The business may have little visibility into what information is being shared or retained.

Start by asking staff what they are trying to accomplish. Then publish a short, accessible list of approved tools, permitted uses, and information that must stay out.

Provide a simple route to request a new tool or report an accidental upload. Pair the rules with training and access controls appropriate to the work.

If employees keep looking elsewhere, investigate the gap in the approved process.

A policy nobody can follow leaves decisions to chance.

Could someone on your team find the right AI tool and its data rules in under a minute?

Before you upload, check what leaves the business.

A quick search can include sensitive details.

A screenshot of a client record.
A photo of a meeting whiteboard.
A voice query that names a customer.

Google's Search Services History settings include controls for saved activity and media. Google says this history may be used to develop and improve AI models. Review the settings and terms that apply to the account and service your team uses.

Avoid assuming that a personal Google account has the same controls as a managed business service.

Give employees a short list of approved tools and information they must keep out of unapproved services. Explain what to do when they are unsure, before they upload.

Review those rules when features or settings change. A useful tool still needs a clear boundary for business information.

Privacy decisions belong before the upload.

When did your team last check its search and AI data settings?

An AI license needs a plan for people.

Start with one task worth improving.

Choose the work.
Define a useful result.
Give someone responsibility for checking it.

Questions about AI and jobs deserve a thoughtful answer. The effects will vary by role and organization. Buying software alone cannot tell you what happens next.

For a practical pilot, ask employees which repetitive task slows them down. Try an approved tool on suitable information, provide training, and compare the result with your current process.

Measure time saved alongside accuracy, rework, and customer experience. Include the time people spend reviewing AI output.

If the pilot helps, decide how the recovered time will be used and what skills the team needs next. If it creates more checking than value, adjust the approach.

Hours saved have value when people can use them well.

Which task would your team most welcome help with, and how would you judge the result?

Being comfortable with tech is no security test.

Check habits across every age group.

Who reuses passwords?
Who has multifactor authentication enabled?
Who knows how to report a compromised account?

Those questions tell you more than someone's generation or how often they replace a password.

A strong, unique password does not become weak simply because a date passes. Replace it when it is compromised or suspected of compromise, and follow your organization's security requirements.

Use an approved password manager to create and store distinct passwords. Add multifactor authentication and consider phishing-resistant options, such as supported passkeys or security keys.

Start with accounts that can expose other accounts or sensitive information: business email, administrator access, and financial systems. Give every employee the same clear guidance and practical help.

Confidence with a device is no proof of account security.

Where would a password-reuse review make the biggest difference in your organization?

A familiar voice can still carry a false request.

Verify the action before you approve it.

The caller sounds convincing.
The message includes real details.
The deadline leaves little room to think.

AI-generated voices and messages can make impersonation harder to recognize. Build a verification process that works even when a request looks and sounds credible.

For a bank-detail change, payment request, or request for confidential information, use a known contact method to confirm it independently. Follow your approval process, including a second authorized reviewer where required.

Never approve an unexpected sign-in prompt just because someone on a call tells you to. Report it through your established support channel.

Practice these situations with staff. Give them explicit permission to pause an urgent request, even when it appears to come from leadership.

Urgency should trigger verification.

Which request in your business most needs a reliable second check?

Low disk space deserves a closer look.

Find the cause before deleting files.

Storage keeps shrinking.
Cleanup only helps briefly.
Your work is starting to slow down.

In Windows 11, Settings > System > Storage is a useful starting point. It shows how space is being used, but a large system category alone does not identify the cause.

Ask your IT support team to investigate unexpected growth. Updates, temporary files, application logs, and recovery data can all affect storage use. Avoid deleting unfamiliar system files yourself.

This is also a reason to keep a managed update routine. Updates can address reliability and security issues, while planned restarts help the work finish.

For business devices, agree on maintenance windows and track failures so postponed updates do not become permanent.

Repeated cleanup is a signal to investigate.

Does your team report unexplained storage loss early, or only when a device can no longer save work?
