An AI chatbot just told one of our staff to have a great weekend… on a Monday. Despite the employee's compelling argument of "well, Claude said so," they'll still be coming into work tomorrow as usual.

But this reminds us of something important: a machine that crunches numbers until it lands on a confident guess (otherwise known as AI) can't possibly be right all the time. These systems don't actually know whether their answer is right or wrong.

We've been a bit spoiled the past couple years, as all sorts of tools have come out that chatbots can use to verify information before passing it along to the user. The problem is, you can't exactly force a thinking rock to use those tools.

When a chatbot decides it's not important to check the date and just tells somebody to have a good weekend, that's no big deal. But what happens when a chatbot on your website tells a customer you're closed when you're not, or gives them the wrong address for your business just because it "sounded right"?

Knowing when and where a human needs to stay in the loop is one of this revolution's biggest challenges, and it's imperative we stay ahead of it. You may have seen the news last week about Vercel, a technology company that got breached because one employee downloaded an AI tool and connected it to a work account. The attackers used that connection to walk right in.

It is a story worth paying attention to if you run a small business, because the same scenario plays out every day at companies of every size and the consequences for a small business are a lot harder to absorb.

Here is what most small business owners do not realize about an AI related breach. The damage does not stop at fixing the problem. If your employees are using AI tools that you have not approved and those tools are being fed client information, you may have a confidentiality problem with your clients on top of everything else. Your cyber insurance carrier is going to look at whether you had a policy in place governing AI use. If you did not, they may have grounds to deny your claim. And if you are in Florida, the state breach notification law does not care how the breach happened. The clock starts ticking either way.

The businesses that come through incidents like this are the ones that had the right guardrails in place before something went wrong. An AI acceptable use policy. A process for approving tools before they connect to your business accounts. A cyber liability policy that actually matches how your business operates.

This is not complicated stuff. It is just the kind of thing that feels easy to put off until it is not easy anymore.

Here is something we see constantly with businesses that are frustrated with AI. They are not using the wrong technology. They are using the right technology on the wrong problems.

Let us clear something up. Gen AI, the kind of AI that generates text, summarizes documents, drafts emails, and answers questions in plain English, is genuinely powerful. But it is not the right tool for every job and a lot of vendors are not being honest about that.

There are two kinds of business problems. Some problems have a correct answer every single time. If a customer places an order, inventory drops by one. If an employee is hired, specific accounts get created. These problems need automation, integrations, and traditional software. They always have. Dropping Gen AI into those workflows introduces unpredictability where your business needs certainty. In the AI world that unpredictability is called a hallucination and it is a built in characteristic of the technology, not a bug that is going to get fixed.

Other problems do not have one right answer. Summarizing a long document, drafting a response to a customer, spotting patterns in your data, generating ideas for your team to evaluate. These are exactly the kinds of problems Gen AI was built for and where it delivers real results.

The frustration most businesses feel with AI comes from applying it to the first category when it belongs in the second. Vendors are not always going to tell you that. We will.

Something happened yesterday that I think every small business owner needs to hear about.

A major technology company called Vercel confirmed over the weekend that they were hacked. The way it happened is worth paying attention to. One of their employees downloaded an AI tool and connected it to their work Google account. That connection is what the hackers used to get in. They walked right through the door that AI tool left open and made off with customer data including credentials that were not even encrypted.

One employee. One AI tool. No policy in place to prevent it. Breach.

Now you might be thinking that sounds like a big company problem. It is not. That exact same scenario plays out at small businesses every day. The difference is that a company like Vercel has the resources to survive it. A lot of small businesses do not.

Here is the thing. This kind of breach is almost entirely preventable. Not with expensive software or a big IT team, but with a simple written policy that answers a few basic questions. Which AI tools are approved for use at your company? What can those tools connect to? Who decides when a new tool gets added?

Most businesses do not have answers to those questions. Most businesses are one curious employee away from finding out why that matters.

Most people think of their website as a marketing problem. The way AI search works today makes it a technology problem too. If your site is not structured to give AI tools the information they need to recommend your business, you are invisible to a growing segment of how people find services.
