🧑‍💼 Your first AI employee: where to start

The first agent is a hire, and it deserves the care of one. Pick the right seat, write the job down, measure where you started, and give it a fair trial with a clear finish line.

A good first job is not the most important work in the business. It is the work most likely to succeed and easiest to judge.

▸ Look for work that repeats, has rules you can write down, has cheap mistakes, and can be counted
▸ Write a one-page job description with one named reviewer
▸ Measure the job for a week before the agent touches it
▸ Run a 30-day trial: shadow, supervised, then measure

🗣️ Brand Voice: A One-Page Guide Your Team Can Use

Four people write for most small businesses: the website, the front desk, the estimate email, the Instagram caption. Too often they sound like four different businesses.

The fix is not a fifty-page brand book nobody opens. It is one page your whole team can read in five minutes and keep beside them when they write.

▸ Pick three traits, each written as "this, not that"
▸ Show one do and one do not for each trait
▸ List the words you use and the words you avoid
▸ Say how your tone shifts when someone is upset or ready to buy

👉 Swipe for the short version.

📬 EDDM explained: Every Door Direct Mail for local businesses

Most local businesses can draw their customers on a map. What they usually do not have is a mailing list for those streets.

Every Door Direct Mail lets you choose USPS carrier routes instead of names, and the carrier delivers your piece to every address on them. No list to rent or clean.

▸ Pick routes from where your current customers really live
▸ Check the current USPS size rules before design starts
▸ Plan for design, printing and postage, not just postage
▸ Decide how you will count responses before you print

👉 Swipe for the short version.

💬 Which streets would you mail first?

🧰 Choosing software for a small business without regret

Most software regret is not about bad software. It is about buying the right tool for someone else's business, or a good tool bought without asking what happens when yours changes.

The fix is a few questions asked before you sign, while you still have leverage.

▸ Write the job down in your own words before any demo
▸ Test the moments that matter with your own data and people
▸ See a real export before you sign, and price next year
▸ Count the cost of leaving, not just the cost of joining

👉 Swipe for the short version.

💬 Which tool in your business do you work around instead of in?

🤝 Turning happy customers into referrals

Ask a long-time customer how they found you and the answer is often a name. Then ask how many of those referrals you asked for. For most businesses, none. Word of mouth happened to them.

You do not need a points program to get more. You need to ask at the right moment, make it easy to pass you along, and say thank you every time.

▸ Ask when they are happiest, right after they see the result
▸ Hand them a short line or a second card to pass along
▸ Thank every referral and close the loop
▸ Ask every new customer how they heard about you

👉 Swipe for the short version.

💬 When does a customer feel happiest with your business?

📊 Your business data is scattered. Here is where to start

Ask how last month went and the answer takes most of the morning. Sales are in the point of sale, leads in the form inbox, ad spend in two accounts, costs with the bookkeeper. Every tool has a report. None of them answers the question.

You do not need a data team or a new system to fix most of this. You need a short list, a few definitions, and one place to look.

▸ Start with the decisions you make every month
▸ Pick five to eight numbers that answer them
▸ Write one sentence that defines each number
▸ Build one plain view, then give it an owner

👉 Swipe for the short version.

💬 Which number takes you longest to find?

📝 Writing an app brief a developer can price

You describe your app idea to three developers. A week later the quotes arrive, and they are so far apart they could be for three different projects. Each developer filled the gaps in your idea with their own guesses, and priced the guesses.

A short brief closes those gaps before anyone guesses, so the quotes you get back are for the same thing and you can compare them.

▸ Start with the problem, not the screens
▸ Name every kind of user, including staff and admins
▸ Mark every feature launch day or later
▸ List every system it has to connect to, with an owner

👉 Swipe for the short version.

💬 What is the one feature your app could not launch without?

🔎 Using AI to read every review and survey

Somewhere in your business there is a pile of customer opinions nobody has read in one sitting: reviews, survey answers, emails to the front desk, notes from a difficult visit. Each one was read once, by one person, on a busy day.

Read together, they tell you something none of them says alone. AI tools are very good at that kind of reading, as long as you give them clean material and check what they hand back.

▸ Gather three to six months of feedback in one place
▸ Strip names, contact details, health and money first
▸ Ask for themes with counts and word-for-word quotes
▸ Check it by hand before you change anything

👉 Swipe for the short version.

💬 What do your customers keep mentioning that nobody has written down?

📝 Writing an AI policy for a small team

Your office manager pastes a tense customer email into a chatbot. Your bookkeeper uploads a spreadsheet to have it summarized. Nobody asked permission, because nobody knew they needed to.

None of this is bad. But each one raises a question you have not answered yet: what may go into these tools, which tools, and who checks what comes out. One written page answers it once.

▸ Decide what never goes in: financial details, passwords, health and employee records
▸ Approve a short list of tools, on work accounts, not personal ones
▸ Whoever sends AI output owns it, and prices, promises and public posts get a second reader
▸ Name one person who answers AI questions, and review the page every quarter

👉 Swipe for the short version.

💬 Does your team have written rules for AI yet?

🔔 Push notifications people don't turn off

A customer downloads your app and, before they have seen a single screen, a box asks to send them notifications. They tap "Don't Allow," and the most direct line you will ever have to that customer closes before it opened.

Once someone declines, the only way back is for them to dig into their phone's settings. So the goal is not to ask early. It is to ask once, at the moment the answer is obviously yes.

▸ Ask right after they do something a notification would help with
▸ Send only what they would be glad to get: things they started, chose or need now
▸ Lead with the useful part, and make a tap open the right screen
▸ Watch opt-outs after each send, not just taps

👉 Swipe for the short version.

💬 Which app's notifications have you switched off, and why?
