The best IT problems are the ones you never hear about because they were stopped before they happened.

As a managed service provider (MSP), we’ve built a suite of preventative monitoring tools that closely watch our clients’ infrastructure around the clock.

Signs of looming problems can be subtle, but we’ll see them. Click through the slides for examples of what we monitor for.

Have you heard of a VoIP phone feature called “find me/follow me”?

Find me/follow me is a call-routing function built into certain VoIP systems that directs calls to a predetermined list of other devices based on rules that you configure.

For example, the system can forward calls from your desk phone to your mobile, digital call app, home phone or voicemail box simultaneously or sequentially based on the time of day, your Outlook calendar, your phone’s geolocation or manual activation.

Pretty handy to make sure you never miss a call!

When is the last time you tested your IT data backups?

If the answer is anything other than “this week, just like every other week,” we suggest that you test them right away. And implement a recurring testing schedule while you’re at it.

The unavoidable fact of backups is that all backup media degrades over time, in addition to files getting corrupted or failing during the backup process.

The only way to know if your backup is reliable and intact is to test it.

So please test your backups!

Your organization's staff can be your greatest warriors against cybercrime, with the right training.

And the main battlefield for cybercrime is every email inbox in your company. (We apologize for the terrible analogy.)

AI-driven email attacks fill your team’s inboxes with arguably more weaponized messages than legitimate messages every day.

To combat this, businesses must empower their users to recognize email threats, properly report suspected messages, spot signs of compromised accounts and scrutinize all sensitive correspondence through training.

Short of blocking all email entirely, training is the best weapon you have.

Your users avoid calling your help desk.

More than likely, it's because their experience getting support is worse than resolving their technology issue.

How do you create a help desk experience that users are motivated to use? Flip through these slides to find out.

We chatted with a prospective customer last week who was grappling with a six-figure annual software spend that, in their words, “had gotten way out of hand.”

Their request? Help quantify all the costs that made up their spend and then help consolidate back into budget.

We’ve got plenty of tactics for handling runaway expenses like this, but the starting point is always the same:

IT spends must align with business goals, so the first step is to evaluate every cost against a stated business objective. If an expense doesn’t directly drive towards a goal, it goes on the chopping block.

In practice, IT disaster recovery plans often sit somewhere between resilient procedures and wishful thinking.

You might think yours is closer to the former, but if it hasn’t been fully tested over multiple mock disaster runs, it’s probably closer to the latter.

We’re not saying this to criticize, but to be helpful.

Our experience in helping businesses through their own IT disasters has shown that far too many recovery plans are based on assumptions and incomplete information that fall apart when needed most.

Now is a great time to run your plan through a recovery test.

Have you noticed that multi-factor authentication (MFA) has really ramped up in the last six months?

We’ve noticed that MFA prevalence and frequency has skyrocketed across the board, largely due to AI-assisted threats.

As cybersecurity experts, we know MFA is a vital defense against cybercrime.

As technology users, we also know how inconvenient and tedious MFA can be.

If you feel the same and are thinking about turning MFA off to avoid the headache, we suggest looking into less intrusive alternatives like passphrases and biometrics.

We’d be happy to help you explore these options for your organization here: https://www.systnet.com/contact-systemsnet/
