A law firm had been running a legacy PABX phone system for years. It worked. Mostly.

Staff were tied to desk phones. There was no integration with their Microsoft 365 environment. Working from home meant missed calls and voicemails nobody checked.

They'd been told migrating to a modern phone system would be 'complex and disruptive.' So they left it.

The migration took two weeks. Staff kept their existing numbers. Calls now follow them to mobile when they're out of office. Voicemails appear as emails. The practice manager can finally see who's calling before they pick up.

Nobody logs an IT ticket for this, but it's happening in most practices:

A system is slow or clunky, so staff find a workaround. They email files to their personal address to work from home. They use a shared login because setting up individual access is 'too much hassle.' They screenshot things instead of printing because the printer has been unreliable for six months.

Each workaround is invisible individually. Collectively, they create serious security and compliance exposure and they signal that the IT setup has stopped serving the people who use it.

Here's what a managed transition looks like:

Week 1: Full audit of your current environment. Every device, system, licence, and user.

What does a good Monday morning look like for a practice manager?

Systems are up when the first staff member arrives. Appointment bookings from the weekend are showing correctly. The printer works. Email is running. Nobody is waiting on IT before they can start the day.

It sounds basic. But for a lot of practices, that reliable Monday morning is not a given.

Changing IT providers feels riskier than staying put. So practices stay even when the relationship stopped working two years ago.

We hear the same reasons:
'They know our setup.' (Do they? Or do they just have access to it?)
'Switching will cause downtime.' (It doesn't have to... a well-managed transition is typically 2–4 weeks with minimal disruption.)
'We're locked in.' (Worth checking. Many contracts have exit provisions that are easier than assumed.)
The real question isn't 'is it worth switching?' It's: 'how much is staying actually costing us?'
Delayed response times, missed proactive work, staff working around broken systems, these have a cost. It's just harder to see on an invoice.

Proactive means you receive a call telling you a system is running low on storage before it causes an outage.

Proactive means your software is patched and updated on a schedule, not when something breaks.

Proactive means someone reviews your environment quarterly and tells you what's coming β€” a licence renewal, a piece of hardware reaching end-of-life, a security setting that needs updating.
Proactive does NOT mean 'we respond quickly when you call.'

Not 'what software are you running?' Not 'can you describe your setup?' Just: 'Hi ICT Asyst, we've got a problem with the booking system again' and they already know which system, which server it lives on, what happened last time, and what the likely fix is.

That's what happens when a provider has been inside your environment long enough to actually understand it.
