About the Role
As the Office and Team Support Assistant, you will be the backbone of our business operations, responsible for ensuring seamless administration, team coordination, and client management. You’ll work closely with the team to ensure tasks are on track, manage client follow-ups, and maintain accurate reporting to finance for invoicing purposes.
Key Responsibilities
• Office Management: Maintain and organize office operations, including supplies, scheduling, and correspondence.
• Administrative Support: Ensure all administrative tasks, such as documentation, reporting, and filing, are completed accurately and on time.
• Team Coordination: Support the team in managing workflows, tracking project milestones, and meeting deadlines.
• Client Follow-Up: Serve as a point of contact for clients, ensuring inquiries are addressed promptly and follow-ups are conducted as required.
• Work Management: Assist in scheduling, assigning, and monitoring work progress to meet client expectations.
• Finance Reporting: Collaborate with the finance team to ensure works completed are accurately tracked and converted to invoices.
• General Support: Handle ad-hoc tasks as needed to support the smooth functioning of the business.
What We’re Looking For
• Experience: Proven experience in an administrative, office management, or team support role, preferably in the IT or professional services industry.
• Organization: Exceptional organizational and multitasking skills with strong attention to detail.
• Communication: Excellent written and verbal communication skills, with a client-centric approach.
• Tech Savvy: Proficient in Microsoft Office Suite, CRM systems, and general IT tools.
• Proactive Attitude: A self-starter who can anticipate needs and solve problems independently.
