“Everyone has access” feels convenient… until it becomes a breach multiplier.
Shared mailboxes and SharePoint sites usually start with good intentions but over time permissions can get out of hand.

Over time, this turns into:
• Too many staff with access to sensitive client emails and documents
• External sharing links that haven't been used for months
• Former staff and vendors still able to see “old” content

Practical reccomendations:
• Set owners for each shared mailbox and SharePoint site
• Grant access via groups, not individuals
• Default to read-only access and sharing unless someone truly needs to send/edit
• Review access regularly
• Audit and remove stale sharing links and guest access
• Turn on MFA and conditional access to reduce account takeover risk

“backup” is not the same as “recovery”. The first time you discover a restore doesn’t work shouldn't be the day you need it.

“How often should I change my password?” is one of the most common security questions.
If you’re using strong, unique passwords, current guidance is that you should only change passwords when there is a reason to believe an account is at risk or has been compromised.

Forced, frequent password changes tend to create bad habits:
• Predictable patterns (Businessname2025!, Businessname2025!!, etc.)
• Reuse across multiple systems and accounts
• More password resets and workarounds from teams

What to do instead:
• Use a password manager to generate and store unique passwords
• Turn on MFA everywhere you can
