At RK Visualization, we put people first. We are committed to the safety of our community, employees, clients, and vendors and want to provide assurance that we will strive to maintain business as usual during these uncertain times. With a focus on safety and maintaining our clients’ and project partners’ expectations of continued service delivery, our offices will remain open; however, we are taking steps to address the current and developing COVID-19 situation.
We are actively following the COVID-19 (coronavirus) outbreak and will continue to provide regular updates. As previously stated, RKV is implementing the following precautionary steps to reduce the impact of this situation:
MONITORING:
We continue to monitor all national and global health authorities' websites, and media outlets to stay vigilant of the fast-changing global impacts of the COVID-19 pandemic.
IN-OFFICE MEETINGS & WORKPLACE CONTAINMENT:
Following health authorities’ advice, we have implemented social distancing practices, significantly increased sanitization procedures for our offices, and readily circulated information to our employees on taking precautions to contain the spread of the virus.
We are encouraging staff not to shake hands and minimize or postpone face-to-face lunches, meetings etc.
SELF-QUARANTINE & WORK-FROM-HOME POLICIES:
All employees have been advised to stay home if they are experiencing any of the following symptoms:
• fever
• cough
• extreme tiredness
• other influenza-like symptoms
All staff have been instructed to call Health Link 811 at the first sign of symptoms before going to a health care facility, unless severely ill.
Should our employees suspect they are feeling ill, we have advised they cease in person interaction related to their work duties until either (1) a healthcare provider examines them and confirms that they do not have COVID-19, or (2) a healthcare provider diagnoses them with COVID-19 and then clears them to return to work after the quarantined period.
We have implemented a work-from-home policy and are taking steps to ensure that staff who are self-quarantined, experiencing influenza-like symptoms or are without childcare have the necessary IT equipment and support to work remotely from home.
TRAVEL:
We have stopped business air travel and are strongly recommending extreme caution to employees undertaking personal domestic and international air travel. Those traveling to countries with reported high levels of COVID-19 are asked to self-quarantine for 14 days upon their return.
Our employees have also been advised to not attend industry events and conferences larger than 25 people.
IN-OFFICE CLIENT MEETINGS:
As previously stated, we have implemented social distancing measures. In addition to postponing internal meetings at RKV, we are encouraging virtual meetings with clients in lieu of in-person meetings.
We are working diligently to reschedule or modify all existing face-to-face meetings to reduce the spread of the virus. If a member of our team has not done so already, someone will be in contact as soon as possible.
SITE MEETINGS & VISITS:
Our technical staff engaged in site visits and site reviews have been asked to call ahead to the site of the work to ensure that the site is still open, and that there are no restrictions preventing the site visit and/or review to occur. Once on site, they are encouraged to only engage with the Contractor’s authorized site representative and avoid any contact with other site staff and sub-contractors.
In addition to the above, all project site photography has been postponed until further notice. Our team will reach out to coordinate alternate dates for any upcoming scheduled photoshoots or discuss options to minimize face-to-face contact with personnel, in the case that a photoshoot cannot be rescheduled.
SERVICE CONTINUITY:
To ensure a seamless delivery and quality of our firm’s services, we are encouraging enhanced communication amongst our teams so that if a team member has to quarantine, there will be additional resources available to cover for them.
We aim to provide you with the same level of service and continuity on all projects with minimal disruptions. However, considering recent events our main concern is the health and safety of our families, clients, and the community—additional steps to a healthy workplace may be implemented and we promise to keep you updated.
Your patience and understanding as we adapt our business practices in response to the COVID-19 pandemic is greatly appreciated. If you have any questions about the steps we are taking, feel free to reach out to a member of our team at any time.
Sincerely,
Dan Chomiak—Managing Director
