Technology can be managed remotely from almost anywhere.

A strong IT partnership still benefits from knowing the business, the environment, and the community around it.

For us, being based on Vancouver Island means working with organizations whose day-to-day realities we understand. We know the local context, we often work with the same vendors and service providers, and we can have better conversations about what is changing in the business and what the technology may need next.

That context matters when planning an office move, reviewing infrastructure, preparing for growth, or deciding which technology investments should come first.

The value of being local is not simply being close by.

It is knowing enough about the organization to help plan ahead.

Hardware replacement shouldn’t come as a surprise.

When equipment is being managed properly, you should know what is getting older, what is becoming a risk and what will likely need to be replaced next.

That gives the business time to prioritize, budget and schedule the work instead of making an emergency purchase after something fails.

It’s a simple example of the difference between reacting to IT problems and managing technology over time.

Another app won’t always fix the problem.

Before adding another tool to the business, it helps to look at what you already have, how the new system will connect with the rest of your technology, who needs access, and where the data will live.

Sometimes the right answer is a new platform. Sometimes the capability is already sitting inside something you’re paying for.

Good IT planning includes helping you make that decision before another subscription, login and system gets added to the mix.

Flat per-device IT pricing is easy to understand. Every desktop or device has a set monthly fee, often around $100-$150, and the bill is predictable.

But there is a tradeoff businesses should understand.

That fee generally stays the same whether a device requires significant support that month or very little. As the network becomes better managed and needs less hands-on time, the client may still be paying exactly the same amount per device.

It can create a disconnect between the work being done and what the business is paying for.

Intraworks uses time-based billing for IT management instead. On a well-managed network, the time required averages about 0.5 hours or less per desktop.

There are different ways to price managed IT. The important thing is understanding the model and asking whether the cost reflects the support your business is receiving.

The best time to deal with an IT problem is often before it becomes one.

Renewals, aging hardware, new employees, office moves and changes to software or security can all create problems when they catch a business by surprise.

Managed IT should give you time to plan. That means knowing what’s coming up, understanding how it could affect the business and making decisions before something becomes urgent.

IT support fixes the issue in front of you. IT management should also help you see what’s coming next.

A Windows update can affect more than the computer or server being updated. It can also change settings, services or connections that other systems rely on, including backups.

That is why having a backup is not the same as knowing your backup is working.

Backups should be monitored and tested so there is visibility when something changes or fails. After a major update, part of the job is making sure the systems protecting the business are still doing what they are supposed to do.

It is one more example of why IT management goes beyond installing updates and responding when something breaks.

Having a data centre here on Vancouver Island isn’t only about where the servers are.

For local organizations, it can be one part of a larger IT plan that considers where data lives, backup and recovery, business continuity, Canadian data requirements and how cloud and local infrastructure work together.

Not every business needs the same setup. Some can operate almost entirely in the cloud. Others benefit from a hybrid environment.

The goal isn’t to choose local infrastructure or cloud because one is always better. It’s to understand what the organization needs and design the environment around that.

Microsoft is changing the default billing setup for new Microsoft 365 Copilot Business subscriptions purchased through its Cloud Solution Provider program.

Beginning December 1, 2026, usage-based billing will be enabled by default for eligible experiences such as Copilot Cowork, Work IQ APIs and GitHub Copilot Harness. Microsoft says the default spending limit will be 4,000 Copilot Credits per user per month, and administrators will be able to adjust those limits.

There is an important distinction here.

This does not mean the entire Microsoft 365 Copilot Business subscription is becoming pay-per-use. It means certain additional experiences can generate usage-based charges alongside the subscription licensing model. Microsoft provides cost-management tools in the Microsoft 365 admin centre so organizations can monitor consumption and manage spending policies.

For businesses adopting Copilot, this adds another item to the planning conversation.

Before enabling new capabilities, it is worth understanding which experiences are included in the licence, which can consume Copilot Credits, what spending limits are appropriate, and who will be responsible for monitoring usage.

We already encourage clients to look at permissions, security and information governance before introducing AI into their Microsoft 365 environment. Cost management belongs in that conversation too.

The technology is moving quickly. A little planning before features are enabled can make adoption much easier to manage.

There are a lot of headlines right now about what AI systems can do.

A recent story about Google’s Gemini caught our attention for the way it gained access to three different companies.

And the method wasn’t especially sophisticated.

Gemini was participating in a cybersecurity evaluation when it unexpectedly had access to the internet. It suddenly began interacting with real systems it thought were part of the test.

It guessed at passwords for one company until it found something that worked. In the other two cases, it found credentials that had been exposed in a public repository. The AI stopped once it understood the systems were real and not part of the test, and the affected organizations were notified.

We could turn this into a warning story about runaway AI agents.

But we think the takeaway is how technology is becoming increasingly capable of finding, testing and acting on security weaknesses.

That means familiar issues like weak credentials, exposed passwords and unnecessary access deserve more attention, not less.

It’s not going to be possible for every business to eliminate all of the risks, and cybersecurity doesn’t need to start with the most complicated solutions available.

Instead, it starts with understanding what you have, closing the gaps you already know about, and making sure the fundamentals are being monitored and looked after.

AI is changing the cybersecurity landscape quickly, but that doesn’t mean good security basics don’t matter. If anything, they matter more now than ever.

Your IT company should take a proactive approach and know when your internet agreement is coming up for renewal, that you’re planning to move to another office location in six months, or that you’ve been talking about replacing an aging system.

Those kinds of conversations usually don’t involve a technician doing billable work. Instead, the value is about staying connected enough to understand what’s happening in your business.

Moving offices is a good example of how many things need to be coordinated and work together. Your internet provider, electrician, cabling contractor and whoever is handling the equipment need to be organized and scheduled.

Hiring some new people for your team also comes with its own set of issues with licenses, permissions and access. Even adding some software can disrupt your system because it doesn’t play nicely with other software you rely on.

If you know what’s coming up in your business, we can help you think through those moving pieces before things turn into an avoidable emergency.

Good account management isn’t checking in just for the sake of checking in and should focus on being proactive and making sure your technology keeps up with where the business is going.
