In my last posts, I talked about how much time operations teams can spend just trying to get the information they need.

As imaging volumes continue to grow, this becomes a bigger challenge. According to CIHI, MRI wait times in Canada are now 15 days longer than they were in 2019, while CT wait times have increased by 3 days.

When capacity is limited, making the most of existing resources becomes increasingly important.

One thing I see often is that important information lives in different places.
Scheduling is in one system.
Reports are in another.
Billing data is somewhere else.

By the time a team has gathered everything it needs, valuable time has already been lost. The problem is rarely a lack of information.

The problem is that teams often have to look in multiple places to understand what is happening. As organizations grow, that challenge grows with them.

Why can’t we quickly see what is happening across the network?
Why do we need to collect data from different systems just to prepare one report?
Why does a simple operational question sometimes take too long to answer?

These are very real questions for imaging operations teams.
As organizations grow, the problem is often not that they do not have enough data.
They have data.
The problem is that it sits in different places.
One system has scheduling information.
Another has reporting data.
Billing may be somewhere else.

Before a team can make a decision, they first need to bring all of this together.
That takes time. And when this happens every week, across multiple locations, it becomes more than an inconvenience. It becomes an operational challenge.

In my next post, I will share why this becomes even more difficult as imaging networks grow.

Duplicate imaging is often viewed as a cost issue.
In reality, it is frequently an information access issue.
A patient arrives for an appointment. Their previous imaging already exists somewhere in the healthcare system. The study may have been performed at another clinic, another hospital, or within another network. Yet when a clinical decision needs to be made, that information is not always easily available.

The result is familiar across healthcare.
Another exam gets booked.
Not because anyone made a mistake.
Not because the original study was unnecessary.
Simply because prior imaging is not immediately available when a decision needs to be made.
The impact extends far beyond the cost of a single exam.

Every repeat study uses capacity that could be allocated to another patient, adds work for technologists and radiologists, contributes to longer wait times, and creates additional administrative effort across the organization.
Research from Ontario found that repeat imaging remains a measurable challenge, while regions with access to shared imaging repositories experienced lower rates of duplicate studies. More recently, Epic reported preventing more than 5.8 million potentially duplicative imaging orders in a single year. 

The challenge is often not the imaging itself.
It is ensuring that the right information is available at the right time.
When clinicians can quickly access prior studies within their normal workflow, unnecessary repeat exams become easier to avoid and existing imaging capacity can be used more effectively.
