**Would you know if someone had added themselves as an administrator to your Microsoft 365?**

It's quite common for businesses to have more administrator accounts than they realise. Someone needed access for a project, an old IT supplier created an account, or a member of staff was given additional permissions years ago and nobody ever went back to review them.

The more administrator accounts you have, the more opportunities there are for one of those accounts to be compromised. We regularly review who has privileged access for our clients and whether they genuinely still need it. Ideally, the accounts people use every day shouldn't have administrator rights either.

It's a relatively simple thing to check, but it's also the sort of thing that can easily be forgotten once everything is working.

Ever accidentally closed a browser tab and then immediately realised you still needed it?

Press **Ctrl + Shift + T** and your browser will reopen the last tab you closed. Keep pressing it and it'll work backwards through several previously closed tabs too.

It works in Edge, Chrome and most other browsers, and it's one of those shortcuts that's incredibly useful once you know about it. Certainly quicker than digging through your browser history trying to remember which website you were on.

Ever needed to grab just part of your screen to send to someone?

Rather than taking a screenshot of the whole screen and then cropping it, press **Windows key + Shift + S**. Your screen will dim and you can simply drag around the bit you want. It's copied straight to your clipboard ready to paste into an email, Teams message or document.

We use screenshots all the time in IT support, particularly when someone is trying to show us an error message, and this is much quicker than taking a picture of the screen with your phone!

It's a really simple shortcut, but if you didn't already know it you'll probably end up using it regularly.

Would you know if an ex-employee could still access your company systems?

It's something we come across more often than you'd expect. Someone leaves, their email gets dealt with and their laptop is handed back, but what about Microsoft 365, shared files, remote access, third-party applications and any accounts they've created themselves?

For most businesses it's not that anyone expects an ex-employee to do anything malicious. The problem is simply that an account nobody needs anymore is another way into the business, and if nobody knows it exists it can potentially sit there for years.

Having a proper leaver process doesn't need to be complicated, but IT should definitely be part of it. Disable access, recover company data, review shared accounts and make sure somebody actually knows what that person had access to.

Have you ever wondered if there was an easier way to find something you've copied earlier when you've since copied something else? Windows actually keeps a clipboard history, but it's one of those features a lot of people don't know exists.

Press **Windows key + V** instead of Ctrl + V and you can see a list of things you've recently copied and choose which one you want to paste. The first time you use it you'll probably be asked to switch Clipboard History on, but once enabled Windows can remember multiple items rather than just the last thing you copied.

I use this one myself and it's surprisingly useful, particularly if you're constantly copying bits of information between emails, documents and websites.

Last weekend we drove down to Bournemouth to see my mother-in-law and catch up with some of the family.

Like a lot of families these days, everyone is busy. Work, different schedules and life in general mean you can go longer than you'd like without seeing each other. So it was nice to spend a few hours together, take my mother-in-law out and just enjoy some proper conversation.

It's funny how easy it is to convince yourself you'll "do it another weekend". Before you know it, months have passed.

I'm glad we made the trip.

**Would you know if your IT company was quietly falling behind?**

I'm not talking about fixing problems when they happen. Most IT companies can do that.

I'm talking about the things you don't see.

Are your systems being reviewed regularly? Is someone planning for Windows 10 reaching end of support? Are backups being tested? Is anyone looking at whether you're paying for software you no longer need?

I've spoken to businesses who assumed all of this was happening because they hadn't had any major issues.

Sometimes it was.

Sometimes it wasn't.

Good IT isn't just about keeping the lights on today. It's about making sure you're not storing up expensive problems for six months' time.

When was the last time you restarted your computer?

Not shut down... actually **restarted** it.

On many Windows PCs, clicking **Shut down** doesn't completely restart the operating system because of Fast Startup. A proper **Restart** clears temporary memory, completes pending updates and can often fix those little niggles like slow performance, odd errors or software that refuses to behave.

If your PC has been acting a bit strange, a restart is one of the quickest things to try before diving into more complicated fixes.

It's simple, takes a couple of minutes, and can save you a lot of frustration.

Most businesses would probably answer yes, but the reality is that it's surprisingly easy to create a Microsoft 365 sharing link that gives broader access than intended. It's rarely malicious; it's usually someone trying to get their work done quickly.

The problem is that these permissions often remain in place for months or even years because nobody thinks to review them.

One of the things we look at during Microsoft 365 security reviews is how files are being shared, who has access to them and whether that access is still appropriate. It's a relatively simple check, but one that can uncover risks businesses weren't even aware existed.

If you're forever searching for the same folder, pin it to Quick Access in File Explorer.

Right-click the folder and choose Pin to Quick Access. Quick access is located in the left hand side of File Explorer.

It saves digging through multiple folders every day and is one of those tiny changes that adds up over time. We often set this up for clients because they're always working from the same project or customer folders, but many people don't realise it's there.
