Most operational problems don't arrive all at once.

They start small. A missing field in a form. A step that isn't quite clear. An assumption that two people interpret differently. On their own, none of it feels serious enough to fix properly, so people work around it. They double-check. They fill the gap themselves. They sort it out later.

Here is a question worth sitting with.

If the person who knows how your operation really works handed in their notice tomorrow, how long would it take for things to start going wrong?

Not catastrophically wrong. Just noticeably wrong. Jobs needing more chasing than usual. Decisions taking longer because nobody is quite sure what the right call is. Small things falling through gaps that this person used to catch without anyone realising.

Some of the most expensive problems in fabrication do not announce themselves early.

A job moves through the workshop without obvious issues. Materials arrived. Work progressed. Everyone assumed someone else had confirmed the site details, or chased the outstanding sign-off, or double-checked the revised spec the client mentioned on a call three weeks ago.

Nobody had. But nobody knew nobody had.

These are the jobs that land badly at the end. The ones that need remedial work, difficult client conversations or margin that disappears in the resolution.

The pattern is almost always the same. Not negligence. A process with gaps that relied on assumption at the moments where confirmation was needed.

They were using more than six separate systems to manage sales delivery finance and forecasting which meant information was scattered and admin took far longer than it needed to.

One of the most common questions we get asked...

And the honest answer is that it depends!

Every business is different, every project has its own requirements and complexity, and rushing the early stages to hit an arbitrary deadline is one of the fastest ways to end up with software that does not quite do what you needed it to.

What we can say is that for most of the businesses we work with, a well scoped bespoke system can be built and live within three to six months.

The work that happens before development starts is what makes that timeline realistic. There is a spreadsheet in your business right now that nobody planned to become important.

It started small. Someone needed to track something that nothing else was tracking. So they built a quick spreadsheet, shared it with a couple of people and got on with the day.

That was three years ago.

Now it has eleven tabs. Two of them nobody touches anymore but everyone is too nervous to delete. There is a column that only makes sense if you were there when it was added. The whole thing breaks if someone saves it in the wrong format and there is one person who gets called every time that happens.

It is also, quietly, the most important document in the business.

This is not a story about bad decisions. It is a story about a business that grew faster than its systems did. The spreadsheet filled a gap because nothing else did and over time the gap got bigger and the spreadsheet got more complicated and now here we are.
