AI is already inside your business, whether you realise it or not.

Employees are using it to speed things up, save time, and make everyday tasks easier.

But valuable information is being shared with these tools without much thought about where that data is going or what rules should apply…

One of the things businesses often underestimate about downtime is how quickly it spreads beyond “the IT issue”.

A system goes offline and, within minutes, people can’t access information 😱

Customers start noticing problems, communication slows down, and normal workarounds suddenly become much more difficult than anyone expected.

New research suggests the financial impact of unplanned downtime is growing at a huge rate, with major organisations collectively losing hundreds of billions every year.

It can mean staff sitting idle because systems aren’t available.

Delays to customer service.

Disrupted operations.

Marketing campaigns pausing unexpectedly.

In some situations, it can mean reputational damage that lasts much longer than the outage itself.

The interesting part of the research wasn’t really the size of the numbers, though.

It was the fact that many businesses still struggle to identify what’s causing the disruption in the first place 😵‍💫

In a growing number of cases, security incidents are initially mistaken for ordinary technical faults.

Something seems slow, unstable, or unavailable, so teams treat it as a normal IT problem while an attacker is still actively operating in the background.

That delay can make the eventual impact much worse 😰

At the same time, businesses are becoming more dependent on connected systems, cloud services, and digital workflows than ever before.

When almost every part of the company relies on technology in some way, even relatively short disruptions can create operational problems quickly.

That’s why resilience has become such an important conversation.

Not in the sense of trying to guarantee that nothing will ever go wrong, because that’s unrealistic.

Systems fail, updates cause problems, cyber attacks happen, and unexpected outages will always exist to some degree.

But it is important that you think through what happens next.

Who needs to know first?
How do teams continue operating?
Which systems are critical?
What can still function manually if necessary?

Those conversations are easier to have calmly before a problem happens than during the middle of one.

👉 If a major system outage happened tomorrow morning, would your business have a clear plan for keeping things moving?

“We’ve always done it this way” sounds harmless.

But then simple jobs start taking twice as long as they should.

People end up chasing information, repeating tasks, and working around processes that no longer really fit the business.

Those little inefficiencies become part of everyday working life, and they’re costing time, money, and energy…

Most cybersecurity problems begin during completely normal moments at work.

Someone is busy and logs into the wrong page. A password gets shared because it feels quicker. An old account stays active longer than anyone realised.

That’s why businesses with the strongest security rely on more than software. They build better habits around how people use technology.

Our latest guide explores what a security-first culture looks like in a business, why small habits are so important, and how to improve security without making work harder for your team.

A lot of businesses still imagine AI use at work looks something like this:

🤖 The company approves one AI tool
🤖 Employees log into that tool
🤖 Everyone uses it exactly as intended

But that’s not what’s happening at all 😅

New research has found that a huge amount of work-related AI activity is happening through personal accounts instead of company-approved systems.

And it works both ways.

Employees are also using company-paid AI tools for personal tasks.

People use whichever AI tool is easiest to access in that moment.

If someone already has ChatGPT open in a browser tab, they’ll probably use that. If they’re logged into a work AI platform already, they’ll use that instead.

Most of your staff aren’t sitting there thinking, “Is this my work AI account or my personal one?”

They’re trying to get something done quickly.

If the “official” AI tool is difficult to log into, slow to access, or awkward to use, people naturally drift towards easier alternatives.

The risk is what gets pasted into those tools 😬

Meeting notes, customer information, internal documents, ideas and plans…

Once that information ends up in a personal AI account, the business often has no visibility or control over it.

And if the employee leaves, that history leaves with them too.

I don’t think most people are doing this recklessly.

They’re doing it for convenience.

It’s why banning AI completely usually doesn’t work. People will still use it if it helps them save time ⌚️

The smarter approach is making approved tools easy enough that employees want to use them.

Provide simple access, clear guidance and practical rules around what should and shouldn’t be shared.

The path of least resistance almost always wins.

🤔 Be honest… do you think your team is only using the AI tools your business officially approves?

The advice on passwords has been the same for years.

Make them long. Make them complex. Never reuse them. Add a code sent to your phone.

It works, but it's never been easy.

Now the experts are saying something different. Ditch passwords altogether and use passkeys instead 🔑

The idea is simple. Instead of typing a password, your device proves it's you. Your fingerprint, your face, or your usual PIN. Nothing to remember, nothing to type.

Here's why it matters. Most cyberattacks still start with stolen login credentials. A phishing email, a fake website, a reused password from an old breach.

Passkeys remove that weak point 🔐

There's no password to guess or hand over. Even if you land on a fake site, the passkey simply won't work there.

Easier logins and stronger protection, all at once. That combination doesn't come along often.

Not all data has the same impact when it’s lost.

Some information is inconvenient to replace.

Other types can stop a business in its tracks.

Knowing the difference, and how each type is protected, makes a bigger difference than many people realise…

Most businesses feel like they’d handle a cyber attack if it happened.

But that confidence often comes from assumptions rather than a clear plan.

If you had to recover quickly, contact the right people, and keep things running under pressure, would everything fall into place… or would you be figuring it out as you go?
