If you run a business, an employee can easily email your client list to a personal account, whether by accident or on purpose.
Most companies just trust staff not to do this.
That is not a control. That is hope with a job title.
If you use Microsoft 365, Microsoft Purview can help reduce that risk using Data Loss Prevention policies.
These policies can detect sensitive data such as client lists, financial information, personal data, credit card numbers, national insurance numbers, or internal classification tags.
Depending on how the policy is configured, Microsoft 365 can warn the user, notify administrators, restrict sharing, apply protection, or block the action entirely.
That distinction matters.
Sometimes the right answer is to block the email.
Sometimes it is to encrypt or protect the content so only authorised recipients can open it.
Sometimes it is to alert and investigate.
The point is simple: sensitive data should not rely purely on someone remembering not to do something stupid at 4:55pm on a Friday.
Trust is good.
Controls are better.
