A confident AI answer can still create an HR problem.

Before your team copies it into an email, report or training plan, ask: What is this answer based on?

Here is where AI can support real HR work:

1. Check a draft against your approved policy.
Give AI a non-confidential policy extract and a draft staff announcement. Ask it to flag conflicting dates, missing conditions and unsupported claims. HR verifies every change before sending.

2. Find patterns in employee feedback.
Use anonymised comments to identify recurring issues, supporting examples and unanswered questions. Check the original feedback before deciding what to act on.

3. Build a training plan around actual gaps.
Compare the skills a role requires with an anonymised team skills summary. Ask for training priorities and a way to check improvement. Managers validate the gaps and agree the next steps.

A stronger prompt:
“Using only the information below, identify gaps and suggest next steps. State your assumptions, flag missing evidence and do not invent facts.”

45 hours a week — does lunch count? 🤔

For HR teams in Peninsular Malaysia and Labuan:

A rest break is generally excluded from working hours if the employee is free to use the time and move around during that break.

Here’s a simple example:
9 AM–6 PM, with a genuine one-hour lunch break
= 8 working hours a day
= 40 hours over five days.

But check the contract. If it already agrees that breaks count as working time, an employer cannot force staff to exclude them to implement the 45-hour week.

Before changing a roster, check both the contract and what actually happens during breaks.

“Please handle this” can mean different things to different people.

Before your next team task, agree on three things:

✅ The result — What should be ready?
✅ The owner — Who will take responsibility?
✅ The deadline — When is it needed?

Instead of “Prepare the report,” try:
“Mei, please send the updated attendance summary by Thursday, 3 PM.”

Then ask the person to confirm the next step.
