WebinarGeek Summer Outing 2026! ☀️💙

Last week, we swapped our desks for a day packed with creativity, music, cocktails, and plenty of fun.

First on the agenda was a hackathon workshop, putting everyone’s teamwork and problem-solving skills to the test. Having so many developers in the room certainly helped, while the rest of us contributed fresh ideas, moral support, and some very important snacks 😉

After all that hard work, music bingo, cocktail making, and a BBQ were waiting. The arrival of a new colleague and the farewell of another gave us an extra reason to raise a glass. And because no summer outing is complete without a few questionable dance moves, the day ended at a party🍹🎶

Safe to say, it was a pretty great day!

If you run B2B webinars, you've probably had this happen. Sales emails all eighty attendees the next morning and gets three replies. Then everyone blames the follow-up speed.

Usually, that isn't the problem.

The problem is that the same email went to all eighty people.

Someone who asked a smart question in the chat is not the same lead as someone who watched ten minutes and left. So don't follow up with them in the same way. Treat the engaged attendees like inbound leads. Open with the question they asked.

The quiet people who watched the full session are often where more of the pipeline is hiding. Send them the questions other attendees asked and give them a reason to reply.

For early drop-offs, keep it short. Give them the main takeaway and move on. No-shows mostly need one thing: the replay.

And don't make the next step a demo by default. Offer a teardown, a benchmark, or a twenty-minute diagnostic call instead. Something useful, not just another sales conversation.

Segmented follow-up tends to get roughly twice the clicks of one generic email to everyone. You usually notice the difference later, when more of those clicks turn into actual conversations.

More reminder emails won't fix your webinar attendance, but better reminder emails will.

Timing can only help you get so far. Three reminders beat one, ideally a week out plus the morning of. On its own, though, timing will increase the attendance rate to about low 40%.

The jump past that comes from changing what the emails are for. Start with an insight a week ahead, a real question a few days out, and a short proof point the day before. Then follow up with just the link, an hour out.

Because people don't forget they signed up. They stop caring, and relevance is what brings them back.

Every webinar tool says it's AI-powered these days. So that label on its own tells you almost nothing.

The real question is where the AI actually helps. A webinar has three stages: prepping it, running it live, and the follow-up afterwards. Plenty of tools only handle one of those well. If it writes your emails but leaves you drowning in the live chat, you've solved a third of the problem. That's usually the sign of meeting software that added a webinar mode later on.

The question isn't whether AI is going to take the human out of webinars. It's where in the webinar process AI can make your life easier.

Nobody is registering for a webinar to watch a bot talking, but AI can be genuinely useful for setting up your webinar. Think of it as knocking out a rough script, brainstorming title options, or drafting promo emails.

Mid-webinar it can babysit the chat, run live captions in different languages at the same time, and even catch up the people who join the webinar late.

And once you're done, it turns the recording into a transcript, chapters, a blog post, and a follow-up sequence. Calculate the time it will cost to do all these things manually, and there's the value that AI can bring to webinars.

The whole skill is knowing where to point it. Give it the repetitive stuff. Save your own time for the part that builds trust, which is you and your presentation. One caveat: read what it hands you before it goes out. Fast isn't the same as right.
