The Polish courts aren’t well known for speed. That’s why it’s common practice in Poland to make sure that contracts are structured in such a way that conflicts or parting ways, as far as possible, can be addressed without going to the court. Make sure the contract is written in such a way, you feel your interest is safe even if the cooperation is abruptly ended by either side assuming you will not want to go to court.

Usually Polish tech companies will openly ask if you have any existing documentation or if you want them to prepare it. Often things related to the initial proposal are also considered part of documentation and so some companies may charge you for that even if (or especially if) you don’t decide to work with them. Ask openly about it before any work on any requirements, documentation or paperwork begins.

The most common practice for the Polish domestic market is doing projects with a fixed price. However, there is a portion of the companies who, when cooperating with foreign businesses, will expect the time and material approach. Even if your country has certain typical practices related to each of these paying approaches, it’s better to establish the rules one by one when cooperating with a foreign tech company, and that goes for Polish tech companies as well.

Make sure you can meet the project manager on their side in person before signing any contracts.
Knowledge of English isn’t enough to have a good connection with a foreign product owner, project manager, account manager or any other specialist you’ll be contacting about your project.
It’s highly recommended to meet the potential contact person a couple of times to see if ‘cultural chemistry’ works between you.

Eastern Europe despite its high ambitions has some key cultural differences. To best leverage the technical potential of their specialists it’s important to understand that in different cultures different things are obvious and not obvious. Here's a piece of advice what to ask Polish software companies.

𝟭. 𝗪𝗵𝗮𝘁’𝘀 𝘁𝗵𝗲 𝘀𝗰𝗼𝗽𝗲 𝗼𝗳 𝗰𝗼𝗺𝗽𝗲𝘁𝗲𝗻𝗰𝗲𝘀?

Make sure it is all clear as to what they can or can’t provide. The bigger the project the more directly this has to be asked. Tech projects have many layers (coding, testing, infrastructure, app shops publication, UI, UX, graphic/branding designs, SEO, SEM, digital marketing), and if you want to have them under one project manager in the tech company, you have to openly state it.

Hi! Let us introduce the basic steps with descriptions of how we work with our Clients on building their products:

STEP 1️⃣. Assigning an account manager and PO in one person
At a very early stage, right after receiving an inquiry or RFP, we assign to the Client an account manager/product owner. It’s a person who’s responsible for all contact with the Client regarding their project.

STEP 2️⃣. Workshop gathering needs & ideas
We organize a meeting with the Client, during which we collect the requirements and determine their priority. We can organize such a workshop either remotely or in person. The length of the meeting is defined individually.

STEP 3️⃣. Creating initial backlog
The collected requirements become the base for us to prepare an initial backlog of the product. This is where we also provide a price range estimate.

STEP 4️⃣. Creating initial mock-up
Before starting development work, we are able to prepare mock-ups that present the future product. This stage is optional, most often performed in the case of larger or more complex products.

STEP 5️⃣. Iterative product development
We work in sprints, meaning in short iterations of a couple weeks each. At the end of each of them, we meet with the Client and present the effects of our work. During those meetings we confirm the work is on the right track or make adjustments.
