You deleted files in SharePoint—but your storage hasn’t gone down. What gives? We have many customers ask this question!

Here’s scoop, Microsoft 365 retention policies may be keeping those files behind the scenes—silently eating up your storage quota.

What’s Actually Happening:
- Deleted files first go to the Recycle Bin for 93 days.
- But if you have retention policies in place, a copy of that file is stored in the Preservation Hold Library—even after it’s been deleted.
- These files still count toward your SharePoint storage limit. You won’t see them, but you will feel them when storage bills rise.

What You (or your IT provider) Can Do:
1) Review your retention settings before starting a cleanup
2) Temporarily pause retention to manually free up space
3) Reinstate policies once cleanup is complete
4) Target retention policies by site, user, or content type
