Legal Secretary – Direct Hire – Hamburg NY

Job brief

We are looking for a specialized Legal Secretary to undertake a variety of administrative and clerical tasks. You will work under the supervision of attorney Partners and will also provide support in assigned legal cases. Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; answering phones; organizing client conferences, and attorney meetings.

Responsibilities

Provide administrative support to two lawyers
Strong Dictation skills
Effectively communicate with clients and court staff
Greet visitors and perform initial screening of clients
Keep office tidy and neat
Produce and file various legal documents such as pleadings, motions or petitions
Preserve an updated case record system
Answer phone calls, take notes/messages and redirect calls when appropriate
Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders
Requirements

Proven experience as Legal Secretary
Knowledge of legal terminology, regulations and court system
Knowledge of MS Office and ability to work with legal technology (court-filing computer systems, transcription software, Dictaphone etc.)
Proficiency in English
Must have own transportation, some travel to courthouse will be necessary
Outstanding time-management and typing skills
Knowledge of Divorce, Real Estate and litigation a plus
Ability to multitask and being comfortable dealing with a diverse pool of people

Job Summary: To work directly with the President and assist with facilitating various tasks/projects. The position requires high level organizational talents, multi-tasking abilities, along with the ability to correlate data with project analyst type expertise.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Include but are not limited to the following;
• Effective communication and regular interaction with both internal and external stakeholders/vendors:
o Ascertains the nature and priority of incoming phone calls and emails; accurately records messages, and transfers calls/responds to emails as necessary
o Communicates in person and through correspondence with President’s contacts inside and outside the company such as vendors, customers, and senior leadership
o Composes and drafts correspondence/reports; creates presentations, organizational charts; meeting minutes
