One of the biggest surprises about private practice?

The clinical work is often the easiest part.

The harder parts can be:

• Policies
• Documentation
• Boundaries
• Finances
• Technology
• Decision-making

Graduate school prepared many of us to be therapists.

It didn't necessarily prepare us to run businesses.

If you find yourself answering the same client question more than three times, create a system for it.

A template.
A form.
A policy.
A handout.
An email.

One thing I didn't understand early in my career was that burnout doesn't usually happen overnight.

It happens through small compromises.

Skipping lunch.
Working late.
Ignoring stress.
Taking on too much responsibility.
Telling yourself you'll slow down "after things settle down."

After more than 20 years in the field, I've learned that a sustainable practice isn't built through pushing harder.

It's built through systems, boundaries, and taking care of the person providing the care.

If a policy is important, don't rely on a conversation.

Put it in writing.

Clients forget.

We forget.

Documentation protects everyone.

After more than 20 years as a therapist, one thing I've learned is that building a sustainable practice is as much about taking care of yourself as it is taking care of your clients.

5 practice documents every therapist should have in place:

✔ Informed Consent

✔ HIPAA Notice

✔ Financial Policies

✔ Release of Information Forms

✔ Professional Will

Most therapists have the first four.

Many don't have the fifth.

A Professional Will helps ensure there is a clear plan for client records, communication, and practice responsibilities if you're unexpectedly unable to practice.

It's not the most exciting document to create, but it may be one of the most important.

Not glamorous.

But these are the things that make a practice sustainable.

A little while ago, I had to unexpectedly step away from my practice for a period of time due to health challenges.

Like many therapists, I had a Professional Will in place.

What I discovered was that having one and having a good one are not necessarily the same thing.

When you're the one facing health issues, the last thing you want is uncertainty about what happens to your clients, records, responsibilities, and practice operations.

That experience led me to revisit and strengthen my own planning and gave me a much deeper appreciation for the importance of having a clear, practical Professional Will.

It's one of those things that's easy to put off because we hope we'll never need it.

Until we do.

Recently, I took what I've learned and turned it into a Professional Will Template & Toolkit to help other therapists put a plan in place without starting from scratch.
