Operation Information Governance Revamp with GRC Expert: INTEL

Sherpa Software’s four-part webinar series Operation IG Revamp continues on April 8 at 1:00 PM ET. Point Park University Goes to School on Sensitive Data Discovery to Answer Data Security & Streamline Data Governance Needs

Point Park University (PPU) — a private liberal arts university located in Pittsburgh, PA — has thousands of users on a variety of devices. With so many people active on their network at all times, monitoring and managing the location and usage of sensitive data, copyrighted content and other information had been a difficult task.

The complexity of this task came to light when the university received a cease-and-desist letter requiring that they find and delete a copyrighted video that they didn't know existed on their network. Responding manually to these — and other information management needs — was taking significant and costly time and resources from the university’s IT team.

SOLUTION
PPU turned to Sherpa Software’s Altitude solution to automate sensitive data discovery as part of their information governance program. Now their IT team is able to quickly search vast numbers of unstructured and structured files across the university network. They can reach out to local laptops — to get to the data that would otherwise be impossible to reach — by using qualifiers such as:

• keywords
• type of content contained
• file extensions
• PII (personal information) matching
• metadata

In addition to locating specific content, Altitude allows PPU to scan all files for sensitive data such as student information and bank routing numbers. Once identified, the files in question can be easily secured, managed or deleted as required by university data retention policies and compliance regulations such as FERPA, HIPAA, GLBA, GDPR and CCPA.

RESULTS
Implementing Sherpa Software’s Altitude is saving PPU nearly $100,000 annually compared to Office365 E5. In addition, the school is able to reach data located on local laptops with potential risky sensitive data that may have been hiding ... something Office365 can’t do. Altitude’s automated solutions will also equip the compliance team to respond faster to eDiscovery legal requirements, and make it easier to ensure that all sensitive data is stored in compliance with institutional and federal policies. Doing so will significantly decrease organizational risk and free up IT team members to focus their time on other important projects to the benefit of the entire university.
