We expected questions about AI course generation. We got questions about leaving.

Can I export everything? What format? If I stop using this, do I lose the records?

It makes complete sense. Anyone who has been locked into a platform once asks this first now. The ability to leave is the feature that makes staying voluntary.

So: Community Edition runs on your infrastructure with full data ownership. The records are in your database. Export is not a negotiation, because we don't hold your data hostage. We can't. It was never on our servers.

That's the quiet advantage of self-hosting that nobody markets.

They weren't wrong to worry. Credit history is the one thing you genuinely cannot recreate.

So they kept the old platform running, read-only, purely as an archive. Paid for it every year. Staff checked two systems whenever a member asked about their credits.

Four years of double cost and double work, all to protect data that could have moved with proper planning.

The lesson we took from it: data portability isn't a feature you check at renewal. It's a feature you check before you sign.

This myth comes from a real pattern. Plenty of free tiers are forks that quietly stop being maintained.

Open-core works differently. There's one codebase. When we patch something for a hosted customer paying $319 a month, that same patch is in the Community Edition release.

We're not maintaining a charity version alongside a real version. That would be twice the work for worse software.

What you do take on when self-hosting is applying those updates. We publish them. You install them. That's the actual division of labour, and it's worth understanding before you choose.

Membership organisations have a specific irritation here.

A member pays dues. Part of what those dues buy is access to education. Then the platform charges you per member for the privilege of delivering the thing they already paid for.

So the education benefit gets rationed. Members-only content sits behind a seat count. Someone builds a workaround with shared logins, which breaks the CE records.

Unlimited registered users means every member gets an account on day one of their membership. Certification and CE tracking are included, so credits attach properly to real people.

Here's the sequence almost every successful training program hits.

The program works. Word spreads. More people want in. Someone checks the licence. The licence has a ceiling. Now expanding a program that's working requires a budget conversation, a procurement cycle and a renewal negotiation.

By the time that's resolved, the momentum is gone.

Under unlimited registered users, the sequence stops at 'more people want in'. You add them. That's the whole step.

Free software, real decisions. Ask these before you commit either way.

1. Who patches the server in November? If there's a name, self-hosting works. If there's a pause, it doesn't.

2. What does an hour of your technical person's time cost? Multiply by four hours a month, then by twelve. Compare that number to a hosting fee.

3. What happens if that person leaves? Institutional memory is infrastructure. A platform only one volunteer understands is a risk wearing a saving's clothes.

Answer honestly and the decision usually makes itself. We built both options because both answers are legitimate.

Procurement: I'll put one dollar.

Us: It's actually zero.

Procurement: The system needs a value above zero for the approval workflow.

Us: We understand. It's still zero.

Procurement: Can you invoice us one dollar so I can process it?

Us: We can, but you'd be paying a dollar for something free.

Procurement: That's fine, the form needs it.

Somewhere in the world a purchase order exists for one dollar because free software doesn't fit an approval workflow designed for vendors.

Training providers have the strangest version of this. You sell courses to learners, and you pay a platform per learner. Your cost scales with your revenue, which sounds fine until you look at the percentage.

Every new cohort improves your top line and erodes your margin at the same time.

Community Edition removes the per-learner cost entirely. Free, self-hosted, unlimited registered users. Sell to 500 learners or 50,000 and the platform line stays where it is.

Two ways to price a learning platform.

Per seat: the bill tracks how many humans you registered. Grow the audience, grow the invoice. Your finance team now has an opinion about who gets trained.

Per capacity: the bill tracks infrastructure. How many people are online at once, how much you're storing. Grow the audience, the bill sits still until you genuinely need more server.

The second one is how almost every other category of software works. Learning platforms are strangely alone in charging by the person.
