An electrician or office coordinator leaves your company, and their email account is still active six months later.

It happens more than most owners realize. Nobody closes it out because nobody owns that step. The password hasn't changed. If that person had access to customer records, vendor accounts, or your QuickBooks login, that door is still open.

This isn't about bad intentions. It's about a missing step in your offboarding process.

Here's what I'd do if this were my business: pull up your Microsoft 365 or Google Workspace admin panel this week and look at every active account. Cross-reference it against who's actually on payroll.

Any account attached to someone who's gone gets disabled immediately, not deleted. Disabled preserves the email history. Deleted creates a different problem.

That one check takes less than 20 minutes and closes a gap most owners don't know is sitting there.

Your cyber insurance application has a question most electrical contractors answer wrong, and it quietly voids your coverage the moment you need it.

Here's the one that gets people: 'Do you have multi-factor authentication enabled on email and remote access?'

Most owners check yes because they set it up once, years ago, for their own login.

But if a field supervisor still logs into the shared scheduling account with just a password, the honest answer is no.

Insurance companies don't audit you when you apply. They audit you after a claim. If the facts on the ground don't match what you checked, they deny the payout.

The action this week is simple. Pull out your cyber insurance application or renewal paperwork. Read every yes-or-no security question. For each one, verify it's actually true across every account, not just yours.

A roofing crew's estimates, job completion emails, and payment disputes all funnel into one inbox. Usually the owner's.

Which means if that owner is on a roof, at a supplier, or just slammed for three days, those emails sit.

A disputed invoice that waits a week doesn't just slow cash flow. It trains the customer that response time doesn't matter. Sometimes it turns into a chargeback or a bad review.

The fix isn't complicated.

Most email platforms let you set up a shared inbox or a simple forwarding rule so billing emails hit a second set of eyes. An office manager, a spouse, a trusted lead. Whoever keeps things moving.

Here's what I'd do if this were my business: pick one email category, billing or job completion, and set up one backup recipient this week.

Here is the problem.

Cyber insurance policies are full of conditions. Specific password requirements. Multi-factor authentication. Backup documentation. Incident response procedures. If you cannot prove you had those controls in place when something went wrong, the claim can be denied.

Buying the policy is not the same as qualifying for the payout.

If your current IT provider isn't helping you understand what your policy actually requires from a technical standpoint, ask them why.

This is more common than most business owners think. They pay premiums for years, something happens, and then they find out their setup did not meet the requirements buried in the fine print.

Your action item this week: Pull out your cyber insurance policy and look for the security requirements section. Write down three things it says you must have in place.

Maybe it is a spreadsheet holding together something that really should be in your FSM.

Maybe it is a shared login your whole crew uses because setting up individual accounts felt like too much hassle.

Maybe it is a process that only works because one specific person knows exactly how to make it work.

We all have them.

Most business owners I talk to have at least two or three of these running in the background right now.

They are not disasters yet.

But they are the kind of thing that becomes a real problem at the worst possible time.

Most trades businesses have at least one computer that hasn't been updated in months. Nobody notices until something breaks.

But I get it. It's working, who cares.

Here's the problem with that.

When a device goes unpatched, it's not just slow or annoying. It's a known vulnerability that attackers actively look for. And in a small business, one unprotected machine can be the entry point for the whole thing.

This isn't about chasing perfection. It's about closing the easy doors first.

The computers running your dispatch, your QuickBooks and your customer records are the ones that matter most. If they're not being monitored and updated on a regular schedule, you're running a risk you probably didn't sign up for.

Do this today: pull up the Windows Update history on your main office computer. See when it last ran. If it's been more than 30 days, that's worth a conversation.

Not because they are careless. Because nobody told them they should be watching it.

Your field trucks are wrapped. Your shop is locked. Your tools are accounted for.

But your data network, the system connecting your computers, tablets, and office devices, where your emails, invoices, and customer records live? Nobody is watching it.

No alerts. No logs. No way to know if something went wrong this week.

Problems on a business network do not always announce themselves. They sit quietly until something breaks or money goes missing.

One thing you can do before you head out today: ask your IT person what monitoring is in place and what actually triggers an alert.

If they cannot answer clearly, you have your answer.

Not because it does not matter. Because they got busy, the last guy could not solve it, or it just became normal.

Maybe it is the software that takes forever to load. The report nobody can pull without calling the office. The system that worked fine until it did not.

You stopped noticing it. Your team worked around it. And now it is just part of how things run.

Here is the thing about workarounds: they cost you time every single day, and most owners never add that up.

One thing I would suggest before the end of this week: ask your team what they do differently because something does not work right.
