Most hiring teams think their process is working. Candidates apply -> Recruiters screen them -> Interviews happen -> Someone gets an offer ->The role gets filled.

But filling a role just means you have a functioning process. It doesn't necessarily mean you have a great one.

So what actually makes a hiring process good?

We put together a list of 9 signs that can tell you, based on research from SHRM, OPM, Harvard Business Review, and LinkedIn Talent Solutions.

Some are obvious, others are easy to overlook:
✅ Are interviewers actually documenting evidence from interviews, or just going with their overall impression?
✅ Can candidates easily tell what happens next, or do they have to email someone to find out?
✅ Are you moving candidates through the process quickly, or are they sitting in limbo between steps?

We turned the 9 signs into a quick self-assessment. Give yourself a point for every one that's true of your hiring process:
- 8-9: You're doing a lot right
- 5-7: Solid foundation, but there are probably a few places to improve
- 0-4: There may be more opportunity in your process than in finding more candidates

There's a lot of talk about how Gen Z candidates are harder to hire. But, they may just be less willing to put up with a hiring process that feels slow, confusing, or impersonal.

They've grown up doing almost everything online. They can track an order in real time, get an answer from a company in minutes, and apply for a job from their phone.

So when a hiring process is moving slower than their perceived expectations, it's easy to see why they might move on.

A few things to keep in mind:

1️⃣ Be clear about the process: How many interviews? How long should it take? What happens next? People are much more patient when they know what to expect.

2️⃣ Don't confuse formality with a good candidate experience: A conversation doesn't need to feel like an interrogation to be useful.

3️⃣ Give candidates some flexibility: On demand interviews can make it easier for candidates to participate around school, work, and everything else on their calendars.

4️⃣ Move quickly when you can. Communicate when you can't: Candidates don't necessarily expect an immediate decision. They do notice when they haven't heard anything.

5️⃣ Remember that candidates are evaluating you, too: The hiring experience says a lot about what it's like to work somewhere.

We dug into the Gen Z effect on hiring, including what younger candidates are looking for and what hiring teams can do differently.

Interview scheduling is one of most overlooked parts of the candidate experience, and one of the most common places for hiring teams to lose time.

~40% of interview bookings happen outside traditional working hours
~20% of scheduled interviews need to be rescheduled
Scheduling one interview can take anywhere from 10 minutes to 2 hours

None of that helps you evaluate a candidate. So what can hiring teams do?

1️⃣ Give Candidates Control: Let candidates see live synced available times and choose what works for them.

2️⃣ Make Rescheduling Easy: Things come up. Candidates shouldn't have to start a five-email conversation just to find a new time.

3️⃣ Automate the Administrative Work: Confirmation emails, reminders, availability and rescheduling don't need to be handled manually.

Scheduling tools can reduce the time spent negotiating interview times with candidates by 84%.

Allowing recruiters can spend more time connecting with candidates and making the best hires possible.

Too many hiring decisions come down to one thing: whether the interviewer just liked the candidate.

Structured interviews fix that. A 1998 meta-analysis by Schmidt and Hunter found structured interviews predict job performance at .51 validity, well ahead of unstructured interviews at .38. A 2023 reanalysis found structured interviews are the strongest predictor of job performance out of every common hiring method, ahead of cognitive tests, work samples, even personality assessments.

Here's how to build a structured hiring process:
1️⃣ Define what success looks like in the role. Skip vague aspects unless you can name the actual behavior behind them.
2️⃣ Pick 3 to 5 competencies that are genuinely tied to performance.
3️⃣ Write questions that hold up across every candidate. Behavioral ("tell me about a time...") and situational ("how would you handle..."), both work well. Platforms like interviewstream let every candidate answer the same questions on the same rubric before anyone gets to a live interview, so the consistency starts early.
4️⃣ Build a scorecard and guide before interviews start. A 3 from one interviewer should mean the same thing as a 3 from another.
5️⃣ Calibrate your interviewers. Have them score a sample response independently, then talk through where the scores diverged and why.

Google's own hiring team uses structured interviewing specifically to cut down on snap judgments, and they still leave plenty of room for real conversation and follow-up questions.

Hiring has gotten harder this year, and it's not just you.

More open reqs. Fewer people to fill them. More interviews per hire than a few years ago. And candidates who won't wait around the way they used to.

90% of companies missed at least one hiring goal in 2025. The average recruiter is now managing 20 open reqs at once. Interview counts per hire have climbed from 14 to 20 since 2021.

We pulled together a full report on what's happening with candidates during the hiring process; data, trends by industry, and what candidates themselves say makes them stay or walk away.

What stood out most in the research: the teams that are actually keeping up haven't added headcount. They've just stopped losing time to the same things, like scheduling back and forth, chasing feedback, and clear communication during the process.

The average recruiter today is managing 14 open requisitions at once.

That's 56% more than in 2022, when recruiting teams were larger.

Application volume has more than doubled in that same window. Team headcount has dropped.

The teams that are keeping up have changed where the work happens.

Scheduling back-and-forth alone accounts for 38% of recruiter time. And 42% of candidates drop out of hiring processes specifically because scheduling takes too long. Meaning you're losing recruiter hours and candidates at the same time.

The fix centers around adding efficiencies to the steps that eat time, before a single real evaluation happens.

89% of HR professionals using AI say it saves them time or increases efficiency.

But 66% of candidates say they'd avoid applying to jobs that use AI in hiring decisions...

Both of those things are true at the same time, and that tension is exactly why most AI hiring strategies stall.

The teams seeing the biggest gains aren't using the most sophisticated tools. They're using AI to help solve the right problems: early screening, scheduling coordination, evaluation notes; the parts of the process that drain recruiter time without requiring human judgment.

And they're keeping humans where it actually counts: relationship building, final decisions, and the moments that shape candidate experience.

We put together a full guide on how to build an AI hiring strategy that actually holds up — including where the risks are real, what the compliance landscape looks like in 2026, and how lean TA teams are using it to hire faster without sacrificing quality.

The loudest voice in an interview debrief often carries the most weight.

Sometimes that’s earned. Sometimes they really did spot something others missed.

But other times, it happens because the rest of the feedback is thin, inconsistent, or based mostly on memory. That’s where hiring conversations can start to drift.

When one evaluator has detailed notes and everyone else has vague impressions, the discussion naturally leans toward the person with the strongest documentation, not necessarily the strongest perspective.

That's where structured screening and evaluation come into play. They give every reviewer a more consistent foundation to evaluate from.

Better hiring conversations start with better candidate feedback. Standardized interviews + structured feedback = stronger hiring decisions.

✨ Success Story Spotlight: Top U.S. Public Research University

One of the nation's premier public research universities, recognized internationally for academic excellence. With over 40,000 faculty, staff, and students, it manages one of the largest workforces in higher education and is deeply committed to education, research, and public service.

🚧 The Challenge: The university's recruiting team was struggling to manage high-volume hiring across departments. Scheduling coordination created delays, inconsistent screening questions made it hard to compare candidates fairly, and hiring managers had limited availability. Resumes alone weren't giving them enough insight into candidates' communication skills and professionalism.

💡 The Solution: The university implemented interviewstream as a structured screening tool for first-round hiring. Selected candidates complete one-way video interviews with standardized, job-related questions, allowing hiring panels to review responses independently, on their own schedule, without coordinating multiple calendars.

🎯 The Results:
- Time Savings: Significant reduction in scheduling coordination and recruiter time
- Consistency & Compliance: Standardized questions supporting fair, compliant hiring across departments
- Enhanced Collaboration: Hiring panels collaborating asynchronously without requiring simultaneous availability
- Better Screening Decisions: Earlier visibility into candidate communication skills and professionalism

A more consistent screening process means faster decisions, better collaboration, and a stronger experience for every candidate. Read the full case study:

60% of companies said their time-to-hire got longer over the last few years.

Only 6% were able to reduce it.

Meanwhile, recruiters are spending nearly half their time on adminstrative work (scheduling, coordinating, chasing calendar availability) before an interview ever happens.

The right video interview software fixes these problems, but most buying decisions go wrong because teams evaluate platforms against each other instead of against their own situation.

We put together a practical guide to help recruiting leaders actually choose, including a framework based on where your process is breaking down, not just a feature comparison chart.

If your team is managing real hiring pressure with limited bandwidth, this one's worth your time.
