If Microsoft Copilot is on your radar this year, here's something worth understanding before you switch it on: Copilot can only reach the files your team can already open. It works inside the access each account already has and it can read across all of it at once as soon as someone asks it a question.

For a lot of small offices around New Jersey, Microsoft 365 setups usually grow one user and one shared folder at a time – people get added to things and permissions rarely get removed. It works fine until you put a tool on top that can read everything in seconds.

The good news is that this is quick to sort out. A review of who can open what tells you where Copilot is safe to work and where you'd want to tighten access first.

Have you started looking at Copilot for your business yet? If you'd like someone to review your Microsoft 365 setup first, you can book a free consultation with us any time.

Be honest for a second. How does your team keep track of passwords?

For a lot of small businesses, the answer is "saved in the browser" or "written down somewhere." It feels convenient, but it leaves you exposed. Anyone who gets onto that machine can read those logins, and when an employee moves on, the passwords they saved go with them.

This is also showing up in cyber insurance and vendor risk questionnaires now. How you store passwords is becoming something you get asked about.

A password manager takes care of it. Your team remembers one master password instead of dozens, and you keep control of business accounts even when staff change.

We use Keeper at Lifeline ourselves, which is the only reason we recommend it. The full write-up is here: https://lifelinetechsolutions.com/resources/why-your-business-needs-a-password-manager/

Continuing our series of posts introducing our team – this week we're introducing Maria Patten, Tech Support Specialist at Lifeline Technology Solutions.

Maria is the person who keeps things moving. She handles incoming calls, coordinates the technicians, provides remote support, and fills the gaps that keep a small team running smoothly. She has a background in customer service and brought that people-first instinct with her when she moved into IT, which is reflected in the relationships she has built with clients over nearly four years at Lifeline.

She is attentive, resourceful, and genuinely enjoys the close-knit environment that comes with working on a small, tight team.

Outside of work, her two dogs are her priority. She is also learning Japanese, enjoys binge-watching shows, and she's getting married next week. Congrats, Maria!

We often hear the question, "We have antivirus and a firewall – are we good?" Mostly, yes. But "mostly" is where incidents tend to happen.

Ransomware doesn't usually beat your security software directly. It moves through the spaces where tools don't fully connect ... where a convincing email still gets through, where a backup is running but has never been tested for an actual restore ...

A setup can look solid on the surface and still leave gaps that only show up when something goes wrong.

For businesses in New Jersey, that's worth understanding before it becomes a problem. A disruption in IT doesn't stay in IT: it affects whatever work was supposed to happen that day.

If you want to know how your current setup would actually hold up, we offer free security consultations for businesses across New Jersey.

If your team blames the internet every time something runs slow, the slowdown might be coming from your own network.

Most business networks were never designed from scratch. They get built up bit by bit. You move into an office and set up a router, add printers as you hire, put in guest Wi-Fi, sort out a way for people to log in from home. Each step makes sense at the time. After a few years you have a network that nobody has fully kept track of.

When that happens, everything starts to feel slower than it should, and you lose a clear picture of what is connected and who can reach your files.

We help New Jersey businesses get that picture back and sort out the weak spots that drag performance down: https://lifelinetechsolutions.com/services/network-support-and-infrastructure-services/

It is a big week at Lifeline Technology Solutions. Matt celebrated his birthday yesterday, Maria is celebrating today, and Rebecca's is tomorrow ... Three birthdays across three consecutive days. On a team this size, that's quite something.

Each of them plays a different role in keeping this team running and our clients well looked after. This week is a good reminder of how lucky we are to have all three of them. Happy birthday, Matt, Maria, and Rebecca!

Memorial Day is a day to remember the men and women who gave their lives in service to this country.

To every family carrying that loss, we are grateful for their sacrifice, and for yours.

From all of us at Lifeline Technology Solutions, we wish you a meaningful Memorial Day with the people you love.

Nothing about that email raised any concern. The sender name was familiar. The message matched previous conversations. There was an attachment with a short note asking for a quick review.

Within minutes of opening the file, documents started locking, shared folders became inaccessible, and a 12-person accounting firm in New Jersey was dealing with a ransomware incident.

There was no warning. It started with something routine, during a normal workday. For many small businesses, most incidents begin exactly like this. Something that fits right into a busy morning.

The businesses that hold up best tend to have security layers that are working together (and reviewed regularly) so when something does get through, there's a next line of coverage.

We put together a full breakdown of what actually protects small businesses: https://lifelinetechsolutions.com/resources/cybersecurity-for-small-businesses-nj/

Continuing our team series, we're introducing Matt Helm, Chief Technology Officer at Lifeline Technology Solutions.

Matt is the technical backbone behind a lot of what Lifeline delivers: network design, security audits, compliance work, and complex projects that require both deep expertise and careful planning. He has a background in cybersecurity and a degree in Computer Information Systems, and he brings a consultative mindset to everything he works on. He is focused on solutions that hold up long term, not just fixes that close a ticket.

Clients tend to notice the results (stable systems, smooth audits, fewer recurring issues), even when the work itself happens quietly behind the scenes.

When he is not working, Matt plays guitar, attends as many rock concerts as possible, and roots for the New York Mets. He lives with his wife, two cats and a dog.

Most small businesses are using AI tools these days – for writing, scheduling, getting through the day faster. That's a good use of technology.

What AI tools don't do is manage your IT security. They don't monitor your network. They don't patch your systems. They don't respond when something breaks or flag unusual activity on your accounts.

Using AI tools well and having your IT properly managed serve different purposes. Both are worth doing right.

If you're not sure your current setup is covering the right bases, a free IT consultation is a good place to start. We'll walk you through what you have and give you an honest picture.
