Deadline's tight. A tool promises to bail you out. It works. It feels fast. It feels safe.

That's exactly when things go wrong.

AI tools are multiplying by the day, summarizing, drafting, organizing, answering, all in seconds. So naturally, everyone's using them.

Most of these tools operate completely outside your organization's radar. Data gets copied. Files get uploaded. Conversations get shared. And because it all feels productive, almost nobody stops to ask the one question that matters: where is this information actually going?

This has a name. It's called Shadow AI, AI activity your company can't see and doesn't control.

Remote work can be both productive and secure when the right safeguards are in place:

• Use firm-managed devices and approved applications
• Enable multi-factor authentication
• Avoid public Wi-Fi or use a trusted VPN
• Keep devices updated and encrypted
• Store client files only in approved locations
• Protect screens and conversations in public spaces
• Report suspicious activity immediately

Client confidentiality should remain protected wherever work happens.

🚨 "Ready, Fire, Aim" is not an AI strategy.

We're seeing more and more organizations roll out ChatGPT, Claude, and other AI tools to their teams without a written AI Acceptable Use Policy in place first.

The result? Sensitive client data pasted into public tools. No guardrails on what data can or can't be shared. No accountability when something goes wrong. Compliance exposure that nobody planned for, which is especially painful for law firms and anyone handling regulated or privileged data.

An AI Acceptable Use Policy doesn't have to be complicated, but it does need to exist before your team starts using these tools day to day. At minimum, it should cover:

✅ Which AI tools are approved for business use
✅ What data can and cannot be entered into AI systems
✅ Client confidentiality and privilege considerations
✅ Human review requirements for AI-generated work
✅ Consequences for policy violations

AI adoption is happening whether you have a policy or not. Your employees are already using it, sanctioned or not. The only question is whether you're steering it or reacting to it after something goes sideways.

Aim first. Then fire.

💡 Tech Tip Friday: Your everyday work account should not have the keys to everything.

Using an administrator account for email, web browsing, and daily tasks might be convenient, but it also increases risk.

If you accidentally open a malicious attachment or visit a compromised website while signed in as an administrator, the threat may inherit the same elevated permissions. That could allow it to install software, change settings, or access additional parts of your system.

A safer approach is simple:

✅ Use a standard account for everyday work
✅ Use a separate administrator account only when needed
✅ Protect both accounts with unique passwords and multi-factor authentication
