If you're on Microsoft 365 Business Standard or Premium, there's a good chance you're paying for tools you've never opened. Here are 4 worth a second look:

🔹 **Microsoft Bookings**: Calendly-style scheduling, already in your subscription. Stop paying for a separate scheduler.

🔹 **Planner + To Do**: lightweight project tracking. Not as deep as Asana, but more than enough for most teams.

🔹 **SharePoint**: yes, learning curve. But once your shared drives are organized properly, it beats the "Google Drive sprawl" most teams are living with.

🔹 **Microsoft Forms**: quick surveys, intake forms, simple data collection. No monthly fee for a separate tool.

Microsoft 365 is one of the most under-used products in business software. If you're paying $22/user/month and only using Outlook, Teams, and Word… you're leaving money on the table.

Here's the question that should keep every small business owner up at night:

If your office burned down tomorrow, or got hit with ransomware on Monday morning, how much of your business could you actually recover?

Meet the 3-2-1 backup rule, the gold standard for keeping your data alive when things go sideways:

3️⃣ Keep at least THREE copies of important data
2️⃣ Store them on TWO different types of media (e.g., local drive + cloud)
1️⃣ Keep ONE copy completely offsite. Different building, different region, ideally a different threat zone entirely.

The reason this matters: ransomware specifically goes after backups first. If your only backup lives on the same network as your servers, it's not really a backup. It's a hostage waiting to happen.

When was the last time anyone *tested* whether your backups restore? (Not "are they running" but actually restored a file?)

If you do exactly ONE thing for your business's security this month, make it this:

Turn on multi-factor authentication (MFA) everywhere it's offered.

MFA blocks the overwhelming majority of automated account-takeover attempts. It's free. It takes about 5 minutes per account. And it's the single highest-leverage security move most businesses are still skipping.

Pair it with a password manager (Bitwarden, 1Password, etc.) so your team isn't reusing "Summer2024!" across 12 logins, and you've just leveled up your security posture more than 90% of SMBs.

2️⃣ Weirdly urgent tone, like "Your account will be closed in 24 hours!"
3️⃣ Generic greeting like "Dear customer" instead of your name
4️⃣ Hover over any link. Does the URL actually match where it claims to send you?
5️⃣ Unexpected attachments, especially .zip or .html files

When in doubt, don't click. Forward suspicious emails to your IT team (👋) or your designated phishing inbox.

Your inbox is the front door of your business. Lock it.
