Your search bar is a terrible IT team. It charges by the YouTube tutorial, never fixes anything permanently, and last week Dave spent 47 minutes watching a guy named “TechWizard99” explain how to reset a password.

It can’t file a ticket. It can’t spot a pattern. And it definitely can’t tell you that 6 people on your team have had the same WiFi issue for 3 months.

Ransomware is a type of malicious software that sneaks onto your computer — usually through a suspicious email link or attachment... and quietly encrypts your files. Once it’s done, you can’t access anything. Your customer records, invoices, documents: all locked behind a digital padlock. Then comes the demand: pay up, or lose it all.

The scary part? It can happen to anyone. You don’t have to be a large corporation to be a target. Attackers use automated tools that scan for vulnerable systems around the clock, and a small business with no IT protection is just as attractive as a big one.|

What can you do about it?

The good news is that basic protection goes a long way. Regularly backing up your files, training your team to spot suspicious emails, and keeping your software up to date can stop most attacks before they start.

At Cooper Tech, we work with local small businesses every day to make cybersecurity simple and manageable. If you’re not sure where to start, reach out!

Software companies are changing their terms of service to train their AI on your internal company data.

If you use tools like HubSpot, Salesforce, QuickBooks, or Asana, you need to run a privacy audit this week.

The idea that your data will be leaked to the public is a bit overstated. Most of these platforms anonymize the information…

However, they are still feeding your real business data into their external AI models. Getting them to stop is not always a simple toggle switch in your account settings. Many of these platforms force you to submit a formal support ticket or email request to opt out.

And even when you do, it does not retroactively remove the historical data they already grabbed.

To protect your information, prioritize enterprise software plans that include a strict “Do Not Train” clause in the contract.

You can also use automated privacy tools to enforce these rules across your entire software stack instead of doing it manually.

Using ChatGPT or other AI tools for work? You might be accidentally training them on your confidential business data.

Here’s the problem most people don’t realize:

Many AI tools use your inputs to improve their models. That proposal you’re drafting? That customer list you’re analyzing? That proprietary process you’re documenting?

It could become part of the AI’s training data—and potentially accessible to others.

What you need to know:

🔒 Free versions often have fewer privacy protections than paid enterprise versions
🔒 Some tools offer opt-out settings for data training (but they’re not always default)
🔒 Anything you paste could be stored and analyzed
🔒 Your industry compliance requirements (HIPAA, financial regulations) might prohibit certain AI use

AI is powerful—but only if you’re not accidentally giving away your competitive advantage.

“We save everything to Google Drive, so we’re backed up.”

Cloud storage ≠ backup. And this misconception is putting businesses at serious risk.

Here’s what people don’t realize:

When you delete a file from Google Drive, Dropbox, or OneDrive (accidentally or because of ransomware), it syncs that deletion across all your devices. Gone everywhere. Instantly.

Ransomware encrypts your local files? Your cloud storage helpfully syncs those encrypted files too. Now your “backup” is also encrypted.

Employee goes rogue and deletes everything? Synced and deleted everywhere.

(Cloud storage is like having a second copy of your house key. If someone steals the original, they can still get in with the copy.)

What cloud storage actually is:
✅ Convenient file access from anywhere
✅ Easy sharing and collaboration
✅ Protection against single device failure

What cloud storage is NOT:
❌ Protection against ransomware, accidental deletion, malicious actions, or a disaster recovery plan

Real backup means:
- Separate system that doesn’t auto-sync deletions
- Version history you can restore from
- Offline or immutable copies ransomware can’t touch
- Regular testing to make sure recovery actually works

Your business data deserves an actual backup strategy. Cooper Technologies provides real backup solutions and disaster recovery planning for North Georgia businesses.

“I can spot a phishing email from a mile away.” Can you though?

Phishing attacks have evolved way beyond the obvious emails. Modern phishing is sophisticated, personalized, and incredibly convincing.

Here’s what today’s phishing looks like:

- Emails from ‘your boss’ asking you to buy gift cards (using their real name and email style)
- Fake Microsoft/Google login pages that look identical to the real thing
- Messages referencing real projects, coworkers, or recent company events
- Invoices from vendors you actually use—with slightly altered payment details
- Urgent IT security alerts telling you to ‘verify your account immediately’

The new rule: Trust nothing at face value.

5 ways to protect yourself:

1️⃣ Hover over links before clicking (does the URL match the supposed sender?)
2️⃣ Verify requests through a different channel (call your boss, don’t just reply to the email)
3️⃣ Check sender email addresses carefully (micros0ft.com vs microsoft.com)
4️⃣ Be suspicious of urgency and pressure tactics
5️⃣ When in doubt, contact your IT support before taking action

One click can compromise your entire network. Train yourself and your team to pause and verify.

Here’s what’s at risk on your phone:
- Email and business communications
- Banking and financial apps
- Two-factor authentication codes
- Cloud storage access
- Social media accounts
- Customer data and contacts

Lose your phone (or have it compromised) and attackers have the keys to your entire digital life.

The best ways to lock down your phone:

✅ Use biometric lock (fingerprint/face) + strong passcode
✅ Enable Find My Device and remote wipe features
✅ Turn on automatic updates for your OS and apps
✅ Disable auto-connect to WiFi networks
✅ Review app permissions (does your flashlight app really need access to contacts?)
✅ Enable encryption (usually on by default, but verify)
✅ Set apps to require authentication after timeout

Your phone is your most powerful tool. Make sure it’s also your most protected.
