Sales App for Outlook: the best feature you probably didn’t know you already have.

Enjoy faster access to information. Easier contact management. Quicker communication tracking. AI-assisted clarity. And an ever-lovin' Teams integration!

If you are a CEO or Sales Director looking to make your team sharper before client engagements and more effectively take advantage of your company's data, this is worth looking at.

✋ To be clear this is NOT a new system to roll out.

It's a free native feature that links the new Outlook with your Dynamics 365 environment (it also is capable of integrating with Salesforce).

▶️ What the Sales App for Outlook is and how to use it: https://www.youtube.com/watch?v=WKNBumAYYgU

Copilot for Sales lets your team create contacts on the fly, track communication directly to the CRM, and access vital account data without constantly hopping between screens.

But the real revenue-driver is how it prepares your team to close deals faster.

An hour before a meeting, this Sales app pokes you with a reminder filled with full meeting notes and a complete history of previous communications directly in Teams.

It's the perfect soft guide to get your brain where it needs to be for a client: attentive, prepared, and fully present. No digging for context, no catching up on the fly. No immediately jumping into a meeting, still thinking about what you were previously doing.

This app also directly combats long-winded, "thinking-out-loud" emails. The AI-generated summary cuts right through the fluff, giving fast-moving executives and sales teams the exact translation of what an employee, customer, or prospect is asking for while keeping your patience/sanity intact.

Whether, like me, you want to mitigate your own deep-focus rabbit holes or you are just running a team fighting the good sales fight, this built-in tool keeps everyone informed and executing faster.

A client recently asked if I had any training materials on this Copilot for Sales App in Outlook. I didn't -- but now I do -- and so do you!

The Normalized Crap We Choose to Ignore 🚗🕒

Next time you’re stuck in traffic, look at your dashboard. My car’s start/stop timer shows exactly how long the engine’s been off.

Love/hate that feature but even though I know I’m “saving money,” every time that timer runs, I get a little irritated thinking about the hours wasted staring at a freakin' bumper.

We somehow normalize this sort of thing because it is what it is.

I'm not saying we have to go nuts stressing over every minute, but seriously, why the hell do we so often normalize hours of our lives wasted -- both in our personal AND our work lives?

Just the other day I had the opportunity to help a client remove this sort of thing completely from their operation.

A simple ask.

They get inbound calls through a service. A director on staff would then receive an email (that always contained different information), determine who should get it and proceed to either forward it or manually copy everything into their CRM, and hope it got taken care of.

No real tracking. Just daily frustration and a lot of opportunities for calls to get lost.

Common, but fixable. I know, because, well, I fixed it.

Every call is now automatically dropped into the CRM, assigned to the right person, and auto-notifies them with all the relevant detail.

🚀 Instantly.

👌 Zero effort.

🔎 Full transparency.

⌚ 24/7.

Hours saved. Clean data for reporting. No more quiet time sucks.

Let's have the presence of mind to stop normalizing wasted hours just because “that’s how we’ve always done it.”

If things are done repeatedly, it can likely be automated.

If your team is still copy-pasting and playing human router, you’re sitting in traffic. And that timer is ticking right on up.

Let’s clear the way. 🛠️

Open your company’s shared file system.

😑 You know the one.

6 (or 36) different folder structure logics at play.

Files no one wants to delete because "what if?"

“Final_v3_REALfinal_USETHIS.xlsx”
“Final_v3_REALfinal_USETHISONE.xlsx”
“Final_v3_REALfinal_USETHISONE(1).xlsx”
“Final_v3_REALfinal_USETHISFILE.xlsx”

File syncing errors that magically become “IT issues”.

Your highest paid people being charged to… organize folders.

And somehow… it just keeps getting worse as you grow.

Here’s the part nobody says out loud:

This isn’t a discipline problem.

It’s a system problem.

Because if your “process” relies on humans to:
→ name things correctly
→ put them in the right place
→ clean up after themselves

…it’s already broken.

I just worked with a team dealing with exactly this.

Enterprise-level.

Massive volume. No standards. Constant friction.
Insanely talented people wasting real time doing fake work.

So, I designed a scalable solution.

Not a better set of rules.
Not a training doc no one reads.

An automated document system that:
→ enforces structure
→ eliminates naming chaos
→ prevents sync failures
→ and doesn’t rely on memory or discipline

A full lifecycle built on Microsoft SharePoint, OneDrive, & Azure Blob Storage. Even stronger with Dynamics.

Once in place?

People stop thinking about documents entirely and focusing more on where they provide the most value.

Which is exactly the point.

Less digging. More winning.

If this sounds painfully familiar or you have similar tech-focused headaches you're looking to solve, we should probably talk. Zero pressure, all solution.

I just built out Dynamics 365 for a client where one contract powers everything. And organically aligned sales, operations, finance, warehouse, and executives.

Everyone had their own spreadsheet. Nobody had the truth.

Sales tracked contracts their way. Warehouse tracked inventory their way. Operations tracked fulfillment their way. Finance tracked revenue their way. Executives tracked the overall picture from the bottom line.

Five teams. Five versions of reality. Five instances of duplicate work. And opportunity for misalignment.

With their brand-new Dynamics 365 Sales CRM?

A rep simply creates the contract, books the items, exports the signable template, and it’s done. Literally. The system does the rest while you sleep.

✅ A single source of truth.
✅ Total alignment.
✅ Every click does 3-5 things for them (and the owner).

An unreal drop in effort with exponential downstream impact.

Suddenly, people had an immense amount of time left in the day.

And full transparency.

The real win? Once folks saw what’s possible, they began seeing through a completely new lens and imagining what they could do next.

That’s when the ROI compounds. 🚀

And when businesses take a giant, moon boot leap forward.

If your teams are running parallel workflows in separate systems, have to operate on a “feeling”, or passive-aggressively fight each other for resources, you’re bleeding efficiency everywhere.

And that’s the puzzle I like to solve. Quick. Scalable. Permanent.

So many “bad systems” turn out to be… well, not bad at all.

Sure, a bit neglected... and/or built in a rush a few years ago.

Usually though?

🤞 You’re just a few tweaks from the system you've actually been after.

Now, if things are a bit beyond that point?

🚪 Well, that's really just an opportunity to get all strategic and create something fresh.

Either way?

😖 You know what’s driving everyone nuts.

As year-end ramps up, most teams are trying to do the same thing.

✨ Close out the year clean.
✨ Reset systems that slowed them down.
✨ Walk into January without chaos hiding in the corners.

Some folks are taking advantage of the year-end rush to tidy up their Microsoft 365 and Dynamics 365 setups. Quick cleanups that make everything run a little smoother and give the team a more predictable, stable system to work out of.

That’s the kind of work I’ve been making available across Central PA these past few weeks.

I keep everything small, focused, and practical. Most of these cleanups can be wrapped up in a day. No committees. No multi-week back-and-forth. Just clear improvements that make the day-to-day feel lighter.

🦜 No drama.
🎬 Just action.
😮‍💨 One less thing weighing down the team.

Quick wins include:
• License and security reviews that cut costs and tighten gaps
• SharePoint cleanup, structure organization, and permission checks
• Simple Power Automate workflows that remove repeat tasks
• Simple introductions to Copilot agents
• Teams cleanup so communication stops getting scattered
• Short training sessions for the tools people keep meaning to use

🏆 If you want to head into the new year with a cleaner, faster setup without it being a whole thing, I’m here to help. We can knock out a few quick wins and have a good time doing it.

Let's collaborate!

The goal isn’t to clean your data faster.

It’s to stop needing to in the first place.

Why?

→ Only about 35% of executives trust company data when making decisions.
→ Bad data costs the average company about 15% of potential revenue.
→ Half the team spends an hour a day fixing or navigating bad data. That's 10 lost weeks per employee, per year.

🤝 We'll work together to make it so that bad data isn't really an option.

Have a real conversation. Get real results.
