If your client has to ask "What is the status?", you have already failed.

We call this the Black Box Service.

The Smell: You take the client's documents. You go silent for 3 weeks to do the work. Then the client emails: "Hey, just checking in..." You feel annoyed. "Can't they let me work?"

Why it stinks:

Anxiety = Nagging: In the absence of information, clients assume the worst. They nag you because they are anxious, not because they are needy.

The Interrupt Tax: Every "status check" email takes 15 minutes of your focus away from the actual work.

Low Value Perception: If they can't see the progress, they don't value the effort.

The Fix: Build a "Pizza Tracker" (think Door Dash, where you can watch your food get closer and closer) for your firm. Automate a Friday update email: "We are currently at Stage 3 of 5. Next step: Review."

Proactive communication is the cheapest way to buy client patience.

Why is the invoice always the hardest thing to send?

Because doing the work and billing the work are usually two separate activities, with billing happening in a batch at the end of the month (but you already paid someone to do the work).

Why it stinks:

The Psychology Fade: On Day 2, the client is relieved and happy to pay. By Day 30, they've forgotten the pain you solved, and the bill just looks like an expense.

Cash Flow Drag: You just floated your client a 30-day interest-free loan.

Strike while the iron is hot (the gratitude too)!

WIP Write-offs: The longer the gap between work and bill, the harder it is to justify the extra hours.

The Fix: Connect the chain. Delivery is the trigger for Billing. Better yet? Bill upfront. But if you must bill arrears, automate it so the invoice lands the second the final report is sent.

There is no faster way to destroy a firm than to automate a broken process.

I've seen this play out over and over again. A firm is drowning in chaos, tasks slip, quality drops, clients are irritated. Solution Appears! It's a brand new tool that will automate your problems away.

If I asked 5 of your staff to "Onboard a new payroll client," would they all do it the exact same way?

If the answer is "mostly," you have a problem. If the answer is "no," you have a crisis.

The output might look the same to the client, but the path to get there is a mess of different spreadsheets, different checklists, and different naming conventions.

4. ๐˜›๐˜ฉ๐˜ฆ ๐˜๐˜ช๐˜น: Pick one way. Even if it's not the "perfect" way, a Standard way beats 5 "pretty good" ways every time. Map it. Document it. Enforce it.

My LinkedIn experiment took a turn this week. I stopped posting 5x a day. It took exactly 48 hours for my account to freeze.

Posting 5x a day is hard, when you do it manually (slightly less so when you schedule it). But if you stop you lose your momentum (obviously), and consequently, you have to climb the same hill again.

Lesson: Don't stop, come up with a better way to peel an orange.

So, things I'm going to try to make it more consistent and less sporadic but keep this from eating up all my time:

1. Series (like the Iffy Systems Smells Series) of posts
2. Longer form stories (think telenovelas/soap operas but LinkedIn style)
3. Videos
4. Anything else anyone suggests that seems promising.
