Email Archiving and migration
You may not think much about email and how email servers work outside of your correspondences with your clients and customers, but learning how to manage your email filing system is essential for keeping your business’s email server efficient. Keeping years and years of old emails in the same file can cause the file to become corrupted, lose emails, or the file can be too unwieldy to manage properly. The file will still be useable; but what if you need to move, alter, migrate, or edit the file? That’s where learning to archive your emails comes in.
In general, your main email box should be kept under 1 GB. By moving your old emails into the archive file, you can easily keep your email file under that threshold. The archive is a separate email file that is connected to the main file. The archive is still accessible for records that you need to keep on hand, but it will not take up space in the main email file folder. To move an email into the archive, simply right click and select archive. Now your email is tucked safely away ready to be accessed or migrated.
