Approving a held order takes about thirty seconds.

Finding out it's on hold can take a day.

The order lands on credit hold and nobody's told. It surfaces when the customer calls. The approver gets tracked down. Someone releases the hold in Macola by hand. Someone else builds the order acknowledgement and emails it. And afterward, there's no clear record of who approved what.

Only one of those steps needs judgment. Every other one is a handoff.

Our team built a workflow in AI Automation that handles everything around the decision:

1. Every new order in Macola is checked for a credit hold
2. Held orders go straight to the right approver as a task, with the order details attached
3. On approval, the hold is released in Macola automatically
4. The order acknowledgement is generated from your Crystal Report and emailed to the customer

The decision stays with a person. The workflow just makes sure it reaches them right away, and that nothing after it depends on someone remembering.

Two details worth knowing:

• Every approval is recorded: who, when, and any comments.
• This one doesn't use AI at all. The value comes from removing handoffs, not from adding AI for its own sake.

This wraps up our three Macola workflow use cases:

→ Past-due invoice reminders that go out on their own
→ Purchase order emails that become Macola sales orders
→ Credit hold approvals that don't stall

One week from today, we're putting AI to work in Macola, live.

Here's the one question to bring with you: what does your team do the same way every week?

That's where AI Automation fits best. Every workflow we'll show comes down to three steps:

Design: lay out the steps you already do, on a visual canvas. No code.

Trigger: pick what starts it. A new order in Macola, an email in the inbox, an invoice that goes past due, a time on the calendar.

Run: from then on, it runs on its own, and brings a person in only when a decision needs one.

We'll build real Macola workflows step by step, show where AI does the reading and writing, and show where your people stay in control. You'll leave with a checklist for picking your first process to automate.

How many purchase orders does your team retype into Macola every day?

This workflow picks up each PO email, reads every attachment with AI Interpreter, and enters the sales order in Macola. No one watching the inbox. No one rekeying orders.

Two minutes, start to finish: design, trigger, run.

2 people per production line became 2 people for 4 lines.

That is how Csaba Kriston, Managing Director of Acterra, describes the change at one of Acterra's clients, an electronics components manufacturer that supplies its production lines with a kanban system.

Before: once a kanban card was collected, material picking was handled manually on paper.

Now: the consumption of a kanban bin is reported through a terminal. That automatically generates a picking request for the warehouse. Warehouse staff prepare and deliver the materials in minutes.

This was Csaba's answer when Paulo Almeida of SAP asked for a real example of SAP Business One and Wisys in action.

To be clear about the source: this is Csaba's account of a client, and the client was not named in the interview.

Where does paper still sit between your production line and your warehouse?

Your biggest customers might send orders through EDI.

Everyone else sends a PDF.

So someone watches the orders inbox, opens each attachment, and keys the order into Macola line by line. On a quiet day, fine. On a busy day, orders wait their turn, and a mistyped quantity doesn't show up until picking, shipping, or invoicing.

Our team built a workflow in AI Automation that takes those emailed POs from the inbox to a Macola sales order:

1. It watches the orders inbox for emails with "PO" or "Purchase Order" in the subject and an attachment
2. It saves the attachments, so one email with several POs works just as well as one
3. AI Interpreter reads each PO, whatever layout the customer sends
4. The sales order is entered in Macola, with nobody retyping anything

The part that matters most: it doesn't guess.

If Interpreter isn't confident about a field, like a smudged quantity or a part number that doesn't match, it flags that order for review instead of pushing it through. Your team stops keying every order and only looks at the ones that genuinely need a second look.

A few things worth knowing:

• It doesn't replace EDI. It covers the long tail of customers who send PDFs, spreadsheets, or scanned forms.
• Want a person to check every order at first? Turn on review, then switch to automatic once you trust it.
• It's a workflow, not just document reading. Add a Teams alert, route different customers differently, or hand an order on credit hold straight to an approver.

The full walkthrough, plus four questions to size whether it's worth it for your team, is in the comments.

What is the biggest warehouse challenge for an SAP Business One customer?

Csaba Kriston, Managing Director of Acterra, puts it this way: determining the optimal inventory level.

Acterra is one of the oldest SAP Business One partners in Hungary. It has worked with SAP for nearly 20 years. Its answer to the question depends on the industry:

→ In just-in-time industries such as automotive, inventory levels are a logistics challenge.

→ For companies with perishable goods, the hard part is measuring inventory turnover accurately.

SAP Business One covers a lot. Csaba's view is that Acterra is always open to take the best tool for a specific area. For the warehouse, that is Wisys.

Wisys extends SAP Business One with real-time warehouse and data capture. Csaba says it improves accuracy, speed, and visibility through mobile barcoding and inventory tracking. It also lets Acterra support more complex warehouse and distribution environments without heavy customization.

If you sell or support SAP Business One, this 2-minute clip is worth your time. The full story is in the first comment.

Registration is open: Put AI to Work in Macola. Real workflows, live.

Thursday, November 5 · 2:00–3:00 p.m. ET · on Microsoft Teams · free

Macola keeps your business running. The time goes to the work around it: chasing approvals, retyping documents that arrive by email, following up with customers, and moving information between people and systems by hand.

In this session, we'll walk through real AI workflows built for Macola teams, step by step. Not slides about what AI could do someday. Workflows you can picture running in your own business next month.

You'll see:

→ Where AI fits in a Macola environment, and where it doesn't
→ How a workflow is designed, triggered, and run, with a person approving the steps that need one
→ Real workflows built around the tasks Macola teams spend the most time on
→ A simple checklist for choosing your first process to automate

Who it's for: owners, controllers, operations and customer service managers, and IT or ERP admins running Macola 10, Macola ES, or Macola Progression. Macola resellers are welcome too.

Can't make it live? Register anyway and we'll send you the recording.

Collections follow-up is the job everyone agrees matters.

It's also the one nobody has time to do well.

Pull the aging report. Find the invoice, export it, attach it, write the email. Then do it again for the next customer. It gets pushed to Friday, then next week, while balances quietly get older.

Our team built a workflow in AI Automation that takes the whole job off your plate, on top of Macola data:

1. It watches Macola for invoices that are 30, 60, or 90+ days past due
2. It generates a copy of each invoice from your existing Crystal Report
3. AI writes a personalized reminder for that customer and invoice
4. It sends the email with the invoice attached, and every run is logged

Nobody has to remember to run the report. Nobody has to write the emails. The follow-up just happens, every cycle, whether anyone's in the office or not.

A few things worth knowing:

• No separate AR system. It runs on your Macola data and your invoice format.
• You decide what the emails say, down to the sign-off. Ours even get firmer as an invoice ages.
• Our build sends without review by design. If you want a person to approve some emails first, like large balances or key accounts, that's one added step.

The full walkthrough is in the comments.

How does your team keep up with past-due follow-up today?

10/15/2026

Three Macola workflows, on two pages.

If you've been following along, you've seen the use cases one at a time. Here they are together, in a quick leave-behind you can save or pass to your team:

→ Past-due invoice reminders that go out on their own, with the invoice attached
→ Purchase order emails that become Macola sales orders, with anything unclear flagged for review
→ Credit hold approvals that go straight to the right person, then release and acknowledge on their own

Each one follows the same simple shape:

1. Something happens: an email arrives, an order is entered, an invoice passes its due date
2. The steps run, each one handing off to the next
3. A person steps in only when a decision needs them

And each one splits the work the same way. Your operations team describes the process. An IT person or power user who knows your Macola data builds it on a visual canvas. No code, no custom integration project.

Macola resellers: this is built to hand to clients. It opens the automation conversation without anyone needing to explain how a workflow engine works.
