TotalCareIT TotalCareIT's unique way of looking at IT delivers a different result that some organizations use as what if they get run over? Being in control over outcomes.

IT probably isn’t your core business, but I guarantee that it is essential in running your business. You rely upon technology on a daily basis and need to ensure things are operating smoothly. If IT is important to you, perhaps you have one full-time IT guy or someone that comes by once a month, what if this person gets sick? What if they find a new job and haven’t documented anything about your systems and applications. Do you realize how much risk you’re sitting on? This is why an IT Support Partner provides the best Return on Investment and Return on Energy. You eliminate the single point of failure of having one guy, you get a full-team of technical gurus but also IT Director-level staff that can help you with IT budgets and IT strategy/planning. You get people that work with dozens of businesses your size and even in the same industry and are introduced to new technology and platforms that can help take your business to the next level. Instead of becoming distracted with IT and trying to build an IT department, look to partner with an IT Support firm that can become your top-to-bottom IT department or augment your existing IT team. There is tremendous value in partnering with a Managed Services Provider as you get access to an enterprise-grade IT department at a fraction of the cost, Service Level Agreements with guaranteed response times, in-depth monthly reporting so you know what’s going on, and a long-term partner that is interested in forming a true business relationship. A good IT budget gives you something every business could use more of: breathing room.

You know what’s likely to need attention, you’ve planned for the costs you can see coming and you’ve left some room for the ones you can’t. When plans change or something unexpected lands, you’re in a much better position to handle it without throwing everything else off course.

You can’t predict every rainy day. But you can bring an umbrella. ☔

Want more breathing room in next year’s IT budget? Speak to our team and see how we can help you plan ahead.

A cost doesn’t have to be urgent to be worth tracking.

A rise in support issues could signal equipment nearing replacement. Growing software usage may point to higher licensing costs. An expanding team can mean more devices, accounts and infrastructure to budget for.

Keeping these costs on your radar gives you time to see what’s coming, plan for the impact and protect your budget from being caught off guard.

What’s the biggest blip on your IT budget radar right now? Tell us below.

A storm is easier to weather when you see it coming. Auto-renewals are no different. Software and services can easily roll into another year without anyone stopping to ask whether they’re still worth the cost.

Before those renewal dates arrive, take a closer look at:

• Usage: Are there licenses or subscriptions sitting idle that nobody’s touched in months?
• Service levels: Are you still paying for features or capacity your business no longer needs?
• Business fit: Does the technology still align with how your team works today?
• Renewal terms: Do you know when the subscription renews and how much notice you need to make a change?

Getting ahead of renewals gives you time to make those decisions on your terms, before the renewal date makes them for you.

Last year at ClioCon the exhibit hall held roughly 150 software vendors. On the final day, Clio announced a major acquisition and rolled out its AI strategy which made half of vendor floor obsolete. This year there were about 70 vendors.

That drop happened while money keeps pouring into legal tech. According to Clio, there are close to 1,200 legal AI startups, and legal ranks second only to coding in private equity investment. Investors keep funding these tools, and Clio keeps building the same features into its own platform.

Phone intake is the clearest example. Several of this year's premier sponsors sold phone integrations that transcribed calls and synced them to Clio matters. Then Clio announced its own phone system. You define your ideal client by matter type, fee structure and location. A prospect who calls, texts or emails goes through the same conversational qualification and gets booked for an initial consult, all inside Clio.

Before you sign a multi-year contract for an AI add-on, ask whether your practice management platform is likely to ship the same feature within a year. Short terms make sense right now. The tools keep getting easier to use. The skill that matters is process design. Much of ClioCon's education focused on workflow engineering for practice managers. Automated intake only works if someone has written down what a good matter looks like.

Your staff will soon manage AI agents the way they manage people today, with clear expectations, defined accountability and a debrief when something goes wrong. A team that struggles to delegate to people will struggle to delegate to agents too.

Read the terms of service (if you're an attorney, I shouldn't have to say this 😊) before you connect any AI assistant to your email, billing or document system. Your duty of client confidentiality still applies when the tool is free. AI won't fix a poorly defined process. It will expose one faster than anything before it. Which part of your intake process could you write down today?

There's a peaceful, easy feeling that comes with knowing your IT budget is ready for whatever the year brings.

Hardware replacements, software renewals and growth-related costs are easier to manage when they’re already on your radar and in your budget.

A little visibility now can mean fewer surprises next year.
