The off-season is shorter than it feels. Here's what to do for a successful one. ποΈ
Rest first. Do it! Trust us, the work will be there when you get back. Take two weeks minimum where you are not planning, optimizing, or improving.
Then reflect a little. What worked? What didn't? What should have been in place for week one? You won't remember any of this in February, so write it down.
Get a clear picture. Re-enrollment rate, session fill rates, cancellations, revenue, and outstanding balances. UltraCamp's custom reports pull all of it in minutes, so your data is grounded in numbers, not feelings.
Evaluate your software. Did it do what you needed it to do? Were there workarounds you lived with that you shouldn't have? The off-season is the time to make a change β not in March when registration is already open.
Rebuild your registration flow. What forms did you ask for again and again? What information were you missing?
Automate. Payment reminders, waitlist notifications, and confirmation emails, set once in UltraCamp, and they run themselves all season. Future you will be so happy.
Start hiring early. The best counselors get hired post-season. Get your application process, background checks, and onboarding paperwork ready before all the good candidates are gone.
Open re-enrollment before general enrollment. Your returning families are your most valuable ones. Give them first access. Small gestures increase their loyalty.
