One of our long-term clients got five separate proactive alerts last month. Nothing broke. Every single one got caught and handled before it became a problem, because someone already knew what to do the moment it showed up. That's the part most shops skip. Plenty of businesses have monitoring tools running in the background. Fewer have decided in advance who acts on what those tools flag. Ask a plant owner when they last tested a real restore, and a lot of them go quiet. Not because they're careless — because the software's been quietly doing its job in the background, sending reports, and nobody's had a reason to question it. But a report only tells you the backup ran. It doesn't tell you what shape the data's in, how long a restore would take, or whether the one file your team needs most actually made it in. Here's a tip that takes less time than you think: pick one file, restore it from your actual backup, and time how long it takes. Not the report your backup software emails you. An actual restore, on actual data. Most shops find at least one surprise the first time they do this — a folder that got missed, a restore that takes longer than anyone guessed. Better to find that out on a Wednesday afternoon than during a real outage. Put it on the calendar this week. Ten minutes now saves a much longer day later.

Two shops get hit with the same kind of failure — a drive dies, a bad click lands, the internet drops mid-shift. One's back to normal in an hour. The other loses the whole afternoon. It's tempting to chalk that up to luck, but it rarely is. The shop that recovered fast had already decided, before anything happened, who makes the calls and what gets fixed first. Most small business owners we work with have a quiet rule of thumb: try a few things first, then call IT if you can't figure it out.

It comes from a good place. Nobody wants to bother somebody for a problem that turns out to be simple. The trouble is, the time spent guessing — restarting things, asking around, googling error messages — almost always costs more than the call would have.

The faster version is this: if a system is acting differently than it should and you don't know why, that's already enough reason to make the call. You don't owe IT an explanation. You don't have to prove you've tried everything first. The whole point of having support is being able to use it.

The cheapest computer in your office is usually the most expensive one to keep.

Most owners assume the cost of old equipment is zero; it's already paid for, it still turns on, that's the end of the math. The actual math is more uncomfortable, and it shows up on three different bills. Two of them you're probably reading. The third one - the most expensive, almost nobody is.
