SMB Technologies Cybersecurity Tip: Don’t do THIS on your work laptop or PC

The ONLY thing you should use your company’s workstation or PC for is…WORK! Never mix personal web-surfing, personal e-mail and social media with company devices. If you want to check your Hotmail account or page, do it during your lunch break and on YOUR personal device.

Over 100,000 Facebook accounts are hacked every day. If you’re using a company device to access a compromised account, you’re opening up a door to a hacker who can then get into your company’s network via your e-mail or PC. Bottom line: Don’t use company PCs, devices, phones or Internet for PERSONAL use.

One final note: Make sure you set up multifactor authentication (MFA) on your personal accounts. This will help reduce the chance of an attacker breaking into your social media account or your personal e-mail and using it to phish other people in your organization.

One small speck of ice in the distance can hide a serious threat to even the sturdiest boat, and it’s the same with “small” IT issues:

Shadow IT that causes security risks
Corrupted backup files that can’t be restored in emergencies
Network slowdowns that hinder team collaboration

All the defenses and upgrades in the world can’t help you if you drive your business straight into peril.

When you notice an issue, you need to consider everything else you’re not noticing, too.

SMB Cybersecurity Tip: Is this request really from the boss?

Here’s a common scam: You get an e-mail from the boss (or your spouse, parents or other trusted person) asking you to send them a copy of employee pay stubs, tax information or other files with confidential data in them such as Social Security numbers in them, or they’re asking you to transfer or ACH payment to a vendor or a different bank account.

The problem: Even though it is coming from an e-mail address of someone you know and trust and it LOOKS legit, there’s a chance it could be a scam. Hackers can INTERCEPT e-mail messages and modify them.

If you ever get this kind of request, DOUBLE-CHECK by calling that person to confirm. And even if it turns out to be a legitimate request, you should NEVER send confidential information like Social Security numbers (or attachments with this information inside them) without taking precautions to password-protect and encrypt the message first.

PAYROLL WARNING: Heads up if you work in HR or process payroll – hackers are very interested in getting you to send employee payroll to the wrong bank accounts. Be on high alert for employees asking you to update their banking information. Make sure to confirm the change request by phone and DO NOT call any phone numbers in the e-mail that was sent to you.

Bottom line: Verbally confirm all requests involving money or sensitive data.

Imagine you’ve made the perfect hire. Smart, capable and ready for action with data-driven ideas on how to improve operations. Everything goes great until they’ve been introduced to the office and find:

There’s no onboarding process
Access to valuable company documents takes days to be granted
Remote desktops have security vulnerabilities that should have been patched months ago

You could have the best employee in your industry, but if they’re left twiddling their thumbs waiting for technology to work, their talents go to waste.

Give your high performers the chance to succeed by freeing them from bad tech. Share this post so your network can free their workers from bad tech, too.

Halfway through the year already?

Somewhere between hiring, serving customers and keeping the business moving, it's easy for technology projects to slip to the bottom of the list.

The problem is they don't stay there.

The laptop that's "good enough" becomes the one slowing down your team. The software update you intended to schedule turns into a security risk. The temporary workaround quietly becomes part of your daily operations.

Small technology issues rarely feel urgent. Until they are.

A midyear check-in isn't just about ensuring your IT is up to date. It's about making sure your business isn't carrying unnecessary friction into the second half of the year.

What's one technology project you've been meaning to tackle but haven't gotten around to yet? Comment below.

SMB Cybersecurity Tip: Are you SURE you want to send that e-mail?

Never forget that e-mail constitutes a legal record and can be admissible in legal actions – not only in the courtroom, but in the court of public opinion. People sue for all kinds of silly reasons. Family members get into disputes, couples get divorced, consumers sue merchants, and vendors can pursue delinquent clients.

Whenever a lawyer is looking for damaging evidence, one of the first things they’ll ask for is e-mail records – and deleting them does NOT save you, as they can often be recovered.

E-mail is also not private. Employers have the right to monitor employees’ work e-mail, and if you e-mail anything to a “friend,” you have no legal right to prevent them from posting it or forwarding it.

So, before you hit “Send,” take a minute to make absolutely certain your e-mail doesn’t contain something you don’t want public. Pretend your boss/parent/spouse/religious leader/kids are copied on every e-mail you write. Better yet, pretend your worst enemy is…then edit before you hit “Send.”

Nobody wants to take time out of their day for a fire drill, but when danger strikes, that “inconvenience” becomes the difference between safety and tragedy.

Hiding behind “we’ll do it when we can” with your tech leaves you vulnerable and liable for disruptions and attacks.

If you’re not careful, you’re losing money, trust and your competitive edge.

In our newest blog, we go over how to test your backups regularly to prevent serious issues.

SMB Technologies Cybersecurity Tip: How to let visitors use your WiFi safely

If you have people who visit your office or home, make sure you have a guest WiFi access for them that is separated from your main WiFi access.

If you give guests your primary WiFi access, you’re practically opening the door for anyone to come in and steal data, infect your network and ransom you. After all, you don’t know if your guests’ PCs or device are secure!

Your guests’ access needs to be completely isolated and segregated from your private network and each other (something we can do for you). Your guests should not be able to reach your internal computer network, credit card terminals or other network-connected devices.

Don’t know how to enable guest WiFi access? Give us a call at 503-895-9793 and we’ll help you out.
