The hard drive you deleted in 2019 would like a word.

Hitting delete does not remove anything. It removes the label telling your computer where the file lives, and the file itself stays put until something writes over it. Reformatting works much the same way.

So when old laptops leave the building and someone says the drives were wiped, the fair follow-up is what wiping meant on that particular afternoon.

Ending it properly takes one of three things: overwriting the drive to a recognized standard, degaussing it if the media is magnetic, or destroying it physically. Degaussing has no effect on flash storage, so the method has to suit the device. What protects you afterward is the certificate, itemized by serial number rather than described as one pallet of assorted equipment.

A format is not a funeral. If you have a stack of retired hardware and nobody is certain what happened to the drives, that is worth resolving before anyone asks.

The drives probably were destroyed properly. That is rarely where a decommission goes wrong.

It goes wrong six months later, when somebody asks which drives, and the best anyone can offer is a shrug and a vague memory of a van. You paid for the work, the work was done correctly, and you still cannot prove it. That is the worst of both outcomes.

One step prevents all of it, and it happens before anything is unplugged. Serialize the inventory first, and every question that comes later already has an answer.

We counted 4,727 boxes for this job, one at a time.

The client is one we have worked with since July 2024. What they needed cleared was expired surgical hardware, polymer components used in hip replacement procedures. No hard drives, no servers, nothing our sanitization tools would even recognize. Just a very large quantity of product that had to be accounted for precisely and then destroyed.

A count like that is harder than it looks, and the reason has nothing to do with counting.

A number is only honest if the categories underneath it are clean. Before anyone arrived at a final figure, the boxes were separated into parts and lots, then broken down again by size and color code. Four to five of our people worked through it, interns included. Destruction followed once the audit closed, so nothing left the building uncounted.

What the client ended up with was not a pallet count or a reasonable estimate. It was 4,727 individual units, documented, with the destruction recorded against the audit.

Worth knowing if you are scoping an ITAD partner: a team that can hold the thread through 4,727 units can hold it through servers, lab instruments or anything else carrying a serial number. If you are sitting on expired or recalled inventory with no clear disposal path, that conversation goes better before an audit deadline than after one.

Ask most people what an ITAD provider handles and the answer is laptops, desktops and servers. That assumption has a consequence: the equipment that falls outside it gets routed somewhere less careful, and that equipment is often the part holding the most sensitive data.

A short list of what actually comes through CLR: laboratory instruments including analyzers and their attached workstations, medical and imaging equipment, rack servers and storage arrays, network switches and cabling, telecom infrastructure, UPS units and their batteries, solar panels and mounting hardware, and the ordinary desktops and monitors everyone expects.

The reason the scope matters is that a genomic analyzer or a patient monitor is not classified as an IT asset in most organizations, so it never enters the IT disposal workflow. It still runs an embedded operating system, still holds run histories, credentials and sometimes protected health information, and a factory reset does not address any of it. When that equipment gets handled by a general recycler or a moving company instead, the data risk goes with it.

We decommissioned a 500,000 square foot telecom headquarters that included three on-site data centers and the majority of the building's network cabling. Scope was the whole job.

Degaussing does nothing to flash storage. That one fact undoes a lot of disposal policies written around spinning disks.

NIST 800-88 Revision 2 stopped prescribing a technique for every device. It points to recognized standards such as IEEE 2883 and leaves the judgment where it belongs: match the method to the media.

One default method across a mixed pallet is paperwork for a job that did not work.

The proof is in the pudding, so the saying goes. In ITAD the proof is in the audit, and it works much the same way: you find out whether it was done properly when someone checks.

A certificate of destruction only covers devices that made it onto the list. Anything unlogged is invisible to the paperwork.

Here is a question worth asking any data destruction vendor before you sign anything: how do you sanitize SSDs?

A real answer names the method and the standard behind it, and confirms your certificate will list each serial number. A deflection sounds like "military-grade wiping" or "fully certified process." Both sound reassuring. Neither describes what actually happens to your drives.

The reason it matters is that solid-state drives do not behave like the spinning disks these processes were built around. Degaussing has no effect on flash storage whatsoever, so a provider running one default method across every device is handing you paperwork for a job that did not work.

The devices most likely to cause you a problem are not the ones your team monitors. They are the ones stacked in a back room after the last refresh, waiting for a decision nobody has made.

Consider what that equipment actually is. It is off the patch cycle, so nothing gets fixed. It is off the network monitoring, so nothing gets noticed. In many organizations it has also dropped off the asset register, which means it is off the books entirely while still holding whatever data was on it the day it was unplugged. Three layers of visibility gone, and the sensitive information still sitting there.

That room is not a storage problem. It is an unmanaged security exposure with a door on it.

An equipment audit is how it stops being a blind spot. CLR documents brand, model, part numbers, serial numbers and asset tags for every unit, then tracks each one through to its final disposition, whether that is redeployment, resale or destruction. Clients running large refreshes often hand us the audit work outright, which takes the inventory burden off internal staff who have better things to do.
