If someone on your team does it on a computer, AI can probably do it.

Kelsey Tonner draws the line clearly. Hosting the kayak tour still needs a person. Hosing off the boats afterward still needs a person. Almost everything else is on the table, including a morning routine that reads your messages, reads your inbox, and hands you a prioritized list before you sit down.

Episode 30 is live.

Nikki sits down with Kelsey Tonner of , who has been coaching tour operators since 2015, and he reframed something for me: AI isn't giving you generic answers because it's limited. It's giving you generic answers because it doesn't know your business.

Kelsey walks through three levels of AI use in tour businesses, from uploading files into one chat to building what he calls an AI brain that remembers how you operate and keeps working after you close your laptop.

He also gets practical about token costs, privacy, and what operators are already running overnight.

A sold out tour should not be the end of the customer journey. But for a lot of tour operators… it is. 🤯

In this clip from Episode 18 of the Tour Operator Growth Podcast, Brandon breaks down one of the biggest conversion mistakes operators make inside their booking flow: dead ends. 😵

A guest lands on a sold out trip and suddenly has nowhere to go.

No alternatives.
No waitlist.
No recommendation.
No next step.

So they leave. 👋

Most guests do not know every experience you offer. They only know the page they landed on.

The operators winning more bookings are building checkout flows that keep the conversation going instead of creating friction and exits.

Your Google Business Profile shouldn't just sit there looking nice. The goal is to turn it into another booking entry point. 🎯

A few ways to do that:

- Optimize your services and info so travelers can evaluate options right in Google
- Use Google's booking integrations so people go straight from search into the reservation flow
- Keep it conversion focused: strong photos, recent reviews, accurate availability
- And post with intent. This isn't your personal social media

📋 "Don't be a jerk."

That's actually the last bullet point on Alaska Alpine Adventures' 15-point Code of Responsibility, a document every guest receives before their trip.

In Episode 19, Dan Oberlatz shared why setting clear expectations upfront is one of the most important things a tour operator can do:

✔️ Show up prepared
✔️ Read the material
✔️ Know you're traveling with strangers
✔️ Be ready physically AND emotionally
✔️ And yes... don't be a jerk

When your trips happen in remote wilderness, far from roads and medical care, you can't afford a guest who isn't ready. So Alaska Alpine doesn't leave it to chance. They tell guests exactly what's expected of them long before the float plane takes off.

The lesson for tour operators: managing expectations isn't just about protecting your team. It's about protecting the experience for every guest on the trip.

Picture this for a second…

It’s a hot summer day. Guests are walking up in swimsuits, covered in sunscreen, ready to get out on the water. ☀️

And instead of starting their experience, they’re standing in line… filling out paperwork.

That was the reality for Urban Kai. 🚣♀️

Between the heat, the water, and paper forms getting soggy, check-in just wasn’t a great experience for anyone.

So they made a simple shift with Resmark.

They turned their booking page into a QR code and put it right on their windows.

Now when guests walk up, they can scan, book, and fill everything out right from their phone. Most of them go find some shade, take a few minutes to complete their reservation, and then come back ready to go. 😄

No long lines. No clipboards. No bottlenecks at the counter.

And the best part is, this wasn’t some massive overhaul. It was a simple change made possible because they already had the right system in place.

Sometimes improving the guest experience isn’t about adding more.

It’s about removing the friction in the moments that matter most.

In Episode 17 of the Tour Operator Growth Podcast, Brandon Lake explains why website speed plays such a major role in conversion rates, especially on mobile. 💨

Most operators review their websites on desktop, but most travelers are browsing and booking on their phones. Even small improvements to page load time can make a measurable difference in bookings.

If your website is slow to load, difficult to navigate on mobile, or creates friction before someone can book, you could be losing conversions before travelers even reach the checkout page. 🐢

Great trips aren't luck. They're a system. 🔁

Running on luck looks like: your guide happens to show up in a great mood, check-in gets figured out on the fly, wow moments happen by accident, and content shows up sometimes.

Running on a system looks like: guides hired for energy, a check-in that runs the same every time, a surprise-and-delight moment on every single trip, and content capture that's actually someone's job.

Luck gets it right most of the time. A system gets it right every time.

Every demo looks polished. Any good salesman tailors it to your needs. So how do you find out what's underneath? 👇

Devin, who works in sales himself, says push harder: What about my old data? How long is it stored and who can access it? What's on your roadmap? And if you've Frankensteined your business together with a CRM here, waivers there, reporting somewhere else... ask which of those the platform could replace.
