Who We Are
We are the Next Level Group of companies. Our ownership group is involved in several different businesses spanning many different industries. As an administrative assistant with us, your duties wouldn't just be limited to one of our companies. You would be exposed to each of them. Industries we are involved in include construction, fitness centers, property management, real estate, IT, sand volleyball/recreation, marketing, and more. This may be an office job, but no two days would be the same for you!
Our businesses are constantly evolving and expanding and we are looking to add a motivated and enthusiastic administrative assistant to our team!
General Responsibilities
• Handle administrative tasks as assigned by upper management in a timely manner
• Processing incoming and outgoing mail
• Submit bills via Bill.com
• Pick up and distribute mail and other paperwork from our various business locations
• Onboard new employees across all companies
• Process new hire and benefits paperwork
• Go through new employee orientation items based on company of hire
• Assist with managing insurance needs/changes
• Manage Verizon accounts for all companies
• Make weekly deposits for all companies
• Run misc errands as needed
• Assist with accounts receivable and accounts payable duties
• Assist with bookkeeping duties depending on experience
Property Management/ Real Estate
• You would be the main point of contact for all current and future tenants
• Lease preparation, meeting with new tenants, move in/outs, handling maintenance requests and assisting with scheduling
• You would also manage all aspects of our Black Hills vacation cabin including guest reservations, scheduling cleaners, ordering supplies, and coordinating maintenance needs. This is done remotely.
• Manage utility accounts and changes
Sand Volleyball
• You would manage many aspects of the sand volleyball courts/beer shed
• Placing and receiving beer orders weekly
• Manage inventory and purchase non-alcoholic drinks/snacks/supplies as needed
• Assist in managing volleyball beer shed staff
• Do deposits and manage volleyball cash drawer
• Assist in managing volleyball POS system and timeclock
Construction
• Coordinate with subcontractors to gather all required vendor compliance paperwork
• Process lien waivers and collect signatures from subcontractors
• New employee orientation including new hire paperwork, benefits paperwork, and timeclock training
• Assist in submitting plans and applying for permits for projects
Requirements
• Must possess strong attention to detail and a high level of accuracy
• Excellent time management skills and ability to multi-task and prioritize work
• Ability to adapt - no two days will be the same
• Proficient in all Microsoft Office programs
• Knowledge of office management systems and procedures
• Excellent written and oral communication skills
• Self-starter with the ability to work without direct supervision
• Valid drivers license
Bonus skills – These skills would be a plus in this position.
• Experience in QuickBooks Desktop
• Experience in human resources, accounting, accounts receivable/payable, payroll, etc
• Basic accounting/bookkeeping knowledge
• Office experience in the construction industry
