How long should a business computer stay in service?
For many small and medium-sized businesses, planning for a computer replacement cycle of approximately 4–5 years is a reasonable starting point. The actual timeline depends on the device, workload, support lifecycle, and cost of maintaining it.
Waiting until a computer fails can lead to unplanned expenses and disruptions. Replacing equipment too early, however, can waste budget that could be allocated elsewhere.
Business owners and IT decision-makers should consider five factors:
• Performance: Can the computer handle the applications employees use every day?
• Reliability: Are recurring hardware failures or repairs becoming more common?
• Security: Does the device still receive the necessary operating system and security updates?
• Compatibility: Can it support current business software and security requirements?
• Total cost: Is continued maintenance more practical than replacing the device?
A documented hardware lifecycle plan helps businesses forecast expenses, prioritize aging devices, and schedule upgrades before they become urgent.
The best approach is to assess your equipment individually rather than replace every computer on the same schedule.
