What do we do? - PRESENTATION STAGING

Staging a winning presentation

Presentations convey more than information - they carry the message that you have the resources, the will and the passion to make a project succeed.

Sebakwe has the experience and tools to ensure that the message is driven home and that the audience remembers the key messages, understands the concept, and is impressed by the technical expertise and passion shown by the bidder.

In the final analysis, it all comes down to people. Sebakwe ensures that your spokespeople are properly prepared, and are backed by flawless technical support.

The latest generation multi-media tools are used to craft fully interactive presentations shown on everything from a plasma screen to an extra-wide high-definition screen.

Visual elements are synchronised into light, video, special effects, and audio systems to surround the audience with the message.

"If your words or images are not on point, making them dance in color won't make them relevant."

What do we do? - COMMUNICATION - the Key to Success

The success of projects, such as the development of winning bids, is dependent on clear and open communication between all the stakeholders.

Sebakwe includes communication in its roll-out plan at the start of the bid process to ensure that everyone involved is kept fully informed of what they need to know, and their contribution to the success of the project.

The Sebakwe team includes communication specialists, who can assist with all forms of stakeholder management and engagement - including staff, the community, gatekeepers, the authorities, and the media.

Reducing Risks Through Effective Communication

Research shows that communication is one of the biggest manageable risks facing projects. Failure to communicate effectively sees projects running late, failing to meet all their deliverables or ending in recriminations and lawsuits.

Sebakwe understands the many challenges facing project teams. Our clients’ success is built on our ability to help them manage information and knowledge sharing between all stakeholders – internal and external.

Sebakwe's partners have developed tools and systems to help reduce risk and provide fully traceable, visible and measurable communication activities – including knowledge management, document management, on-site signage, training materials, external communications, stakeholder management, internal communication, customer relationship management, and crisis communications.

"The single biggest problem in communication is the illusion that it has taken place."

What do we do? - ON-TIME, ON BUDGET

It is (almost) never too late to call in Sebakwe - in one case we transformed a losing bid into a winning proposal over a long weekend!

Allow Your Team To Do What It Does Best

Our clients recognise that they do not have the in-house strategic expertise and experience required to craft a winning bid or proposal.

They have seen bids fail, teams destroyed, budgets overrun, and deadlines missed when trying to put complex bids together in-house. Managers and key staff are already working at full capacity. Add in the hours and stresses of preparing a bid, and something always breaks - either existing standards drop and customers are lost, or the bid is not the best it can be.

Sebakwe's systems ensure that the RFP is delivered on time, and within the agreed budget. Any budget variances have to be approved by the client before they are committed to.

Deadlines are set at the start of the process and are tracked on a daily basis through Sebakwe's purpose-designed system. The progress is shared with all participants, and is usually in public view in the dedicated project "war room," to keep management in the loop.

Advantages Of Outsourcing

Strategic insight

Independent and objective analysis of strengths and weaknesses of both the client's proposal and that of competitors in the market-place

Experience of having done it before - many times

A focused and dedicated team which has one objective - to deliver a winning proposal on time and within budget

Plugging into an existing network - we have the team, the contacts and the suppliers in place

Operational management and staff continue doing their jobs with minimal disruption

Independent company can work across traditional silos within companies - it is outside of company or group politics

"Success is 10% inspiration, 90% last-minute changes."

What do we do? - STRATEGIC INSIGHT

The Strategic Advantage

Sebakwe clients are invariably impressed by the strategic insight, planning, and action provided during the bid process. Time is invested in gaining a full understanding of what is required for the tender or bid - and what is needed in order to fulfil those requirements.

Where necessary, additional research is commissioned, interviews are conducted, and workshops hosted to identify the strengths and weaknesses in the proposal by our clients.

We also help identify potential competitors and analyse their strengths and weaknesses.

Only once we have a grasp of all the available information do we start developing a strategy to maximise the strengths, while either eliminating or reducing the impact of the weaknesses.

As an independent, professional service provider, our focus is on the task at hand, and not internal politics. Independent analysts and observers are also in a better position to identify strengths and weaknesses within an organisation. But, we do more than identify weaknesses, we develop strategies and solutions to overcome them.

We Help Maximise Your Strengths

The same impartial analysis is made of competitor companies and their bids. It is only once their strengths are acknowledged and understood that countermeasures can be implemented.

This is another advantage of using an impartial and independent group of specialists, whose focus is on delivering a winning, sustainable and implementable bid or proposal.

Sure, that makes us demanding and difficult at times during the process - but the results speak for themselves. Think of us as your personal trainers in building a bid, and then the business.

What do we do? - PREVENT D.I.Y FAILURES

Why doing it yourself can be a bad idea?

Sebakwe has, on a number of occasions, been called in at the last minute when clients have realised that, while they have the ability to gather all the information required, they do not have the experience to package that into a winning bid or tender. Having first worked as part of the internal bid team, and now as an external project team, we have been able to pinpoint some of the compelling reasons why companies should bring in additional expertise to package their bids:

Insufficient strategic insight

Sebakwe is strong on strategy because of its wealth of experience in winning a wide range of bids, proposals, and projects. We know what has worked in the past. We study the RFP and the dynamics around the bid until we fully understand them - and then develop innovative winning solutions.

Lack of expertise

Your management team is, undoubtedly, highly qualified, experienced and capable. And, yes, you may have qualified project managers on your staff. However, it is unlikely that they equal the resources and experience of Sebakwe when it comes to bidding preparation and presentation.

One of the reasons for our success, however, is that we also do not go it alone. We work closely with our clients' management team, use internal resources to save costs, and tap into the company's knowledge of the industry to complete the winning bid.

Lack of time

Executives are focused on the day-to-day running of their departments or companies and do not have the spare capacity required to work on a bid or proposal full-time. This is the reason that deadlines arrive so quickly, with work undone - or not done to a winning standard. A core Sebakwe competency is the ability to work with the executive team to help them provide the information required and to make informed decisions.

Internal focus

It often takes an impartial external observer and analyst to identify strengths and weaknesses. The English phrase "not able to see the wood for the trees" says it all. We provide that insight and are not afraid to tackle hard truths.

Organisational politics

All organisations are governed by a set of internal dynamics formed through inter-personal relationships, historic inter-departmental rivalries, long-forgotten agendas, and the overall company culture. As external consultants, we carry none of that baggage and are not aligned in any way - except to produce a winning bid.

Successes - WILD COAST SUN

THE PROJECT

Wild Coast Sun casino bid: Wild Coast, Eastern Cape of South Africa

CLIENT

Sun International South Africa

SEBAKWE VALUE_ADD

Co-ordinating and packaging a casino licence bid for the Wild Coast Sun, which had to re-apply for its licence in terms of the interpretation of the 10-year licence allocation by the Eastern Cape Gambling and Betting Board. The packaging of the bid held a number of challenges, as the casino element of the resort had lost much of its earning potential due to the opening of casinos in Durban, its main catchment area. The resort had to be re-invented as a destination leisure resort with a casino, rather than a casino which also offered some leisure activities.

CHALLENGES

Had to bid where there was a strong possibility of another bidder

“Plan B” strategy had to be devised for a failed bid, in order to retain some value in the existing infrastructure
The bid had to be sustainable – given the lower revenues generated by the casino while meeting the expectations of the Gambling Board, which had the option of not awarding a licence at all

Claims on the land and for a stake in the business by the local community leaders also had to be accommodated and factored into the planning and strategy

The strategy had to be developed on what would enhance the resort from a tourism point of view

Hotel and casino needed a total revamp – Very tired
The challenge was deciding how to spend the required capital on the revamp but at the same time add additional new facilities onto what was already potentially a “White Elephant”

Making the operation more efficient to maintain a cost-effective operation within a known established market
