Why Your AV Company Wants the Agenda Early

One of the most useful documents you can give your production team isn't a technical document.

It's the agenda.

The agenda tells us much more than who's speaking and when.

It helps us understand when microphones will be needed, when presentations change, when videos might play, when panel discussions happen, when interpretation is required, when rooms turn over, and where technical transitions need to occur.

A five-minute agenda change can sometimes create a significant production change.

For example, turning a keynote presentation into a six-person panel may require additional microphones, seating, staging, lighting, and technical coordination.

The earlier your production team understands the program, the better we can support it.

Your agenda isn't just a schedule. It's part of the technical plan.

The Conference Starts Before the Opening Remarks

For attendees, a conference might begin when
the host walks onto the stage.

For the production team, it started much
earlier.

Equipment may have arrived hours—or sometimes
days—before the first attendee.

Stages were built.

Screens were positioned.

Speakers were installed.

Microphones were tested.

Presentations were loaded.

Lighting was focused.

Interpretation systems were checked.

Technicians reviewed schedules and cues.

And somewhere in the middle of all that
activity, someone probably asked:

"Where's the coffee?"

By the time attendees enter the room, most of
that work has disappeared into the background.

That's exactly how it should be.

The smoother an event feels to the audience,
the more preparation probably happened before they arrived.

Here's a simple question we ask when designing
a conference room:

Can everyone comfortably see the presentation?

Not just the people in the first few rows.

Everyone.

Screen size and placement should be determined
by the dimensions of the room, seating layout, audience size, ceiling height,
stage design, and the type of content being presented.

In larger rooms, one screen may not be enough.

Sometimes additional screens or confidence
displays can dramatically improve the attendee experience without changing
anything about the presentation itself.

The objective isn't to fill the ballroom with
screens.

It's to put information where people can
comfortably see it.

Good video design starts from the audience's
seat—not the equipment list.

Why Rehearsals Are Worth the Time

"We don't need a rehearsal. Everyone knows what they're doing."

Sometimes that's true.

But even experienced presenters benefit from spending a few minutes on stage before the room fills with attendees.

A rehearsal gives presenters an opportunity to become familiar with the stage, confidence monitor, microphones, presentation clicker, lighting, and how they will enter and exit.

It also gives the production team an opportunity to confirm cues.

When does the walk-in music stop?
When does the presentation appear?
Which microphone is being used?
Is there a video?
Who introduces the next speaker?
What happens after the presentation?

These may seem like small details individually, but together they create the flow of the event.

A good rehearsal isn't about practicing the entire conference. It's about making sure everyone knows what happens next.

The Presenter Arrives With a Laptop…

"The presentation is on my laptop."

It's a sentence AV technicians hear every day.

But what's connected to that laptop can make the difference between a smooth presentation and an awkward delay in front of an audience.

Different computers can have different connections, resolutions, aspect ratios, security settings, presentation software, embedded videos, and audio requirements.

Then there are adapters.

USB-C. HDMI. DisplayPort. And occasionally something we haven't seen in years!

Professional presentation management means preparing for those possibilities before the presenter walks onto the stage.

Whenever possible, we encourage presenters to arrive early, test their presentation, confirm videos and audio, and make sure everything displays correctly.

Five minutes of testing before the doors open can prevent five very long minutes in front of an audience.

Why Sound Checks Matter

A microphone can work perfectly in the shop and still require careful adjustment once it enters a ballroom.

Every room sounds different.

Ceiling height, room shape, carpeting, air walls, audience size, stage location, and speaker placement can all affect what your attendees hear.

That's why a proper sound check is an important part of conference setup.

Our technicians aren't simply checking whether a microphone turns on. They're listening for clarity, coverage, feedback, background noise, and consistency throughout the room.

We also need to think about the people using the microphones. Some presenters speak loudly. Others speak softly. Panel discussions can involve several microphones being used at once.

The goal is simple:

Every attendee should be able to hear every word without having to think about the sound system.

Great audio rarely gets noticed.

Poor audio gets noticed immediately.
