A job can be completed on time but still have been much harder to carry out than it needed to be.

Someone might have had to wait for information, find the right instruction, repeat a step or sort out a problem along the way. If all you know afterwards is that the job was completed, most of that gets lost.

That’s often where the useful detail is. Not in the final status, but in the small things that slowed the work down, caused extra effort or made the job less straightforward than it should have been.

It also makes improvement harder, because the pattern never really becomes visible. People know where the friction is, but the business only sees that the job got done.

That’s one of the reasons we think it matters to capture evidence, issues and job data as the work is being carried out. It gives you a much clearer view of how the job actually happened, which is a far better starting point for improvement than a simple completed status.

That thinking is built into WorkfloPlus. The point is not just to know that a job was done, but to have a proper job report that shows what happened while it was being done.

It’s easy to judge a work record when the job has only just been completed, because the people involved still remember what happened and most of the information is close to hand.

The better test is to pick something from six months ago.

Can you still see who carried out the work, which version of the procedure they followed and what checks or readings they recorded? If there were photos or other evidence, does it still make sense in the context of that job, and can you see what happened if anything needed following up?

You may already have all of that in one place, but if you need to search through emails, folders, spreadsheets or old paperwork to put the job back together, some of the record is being created after the work rather than during it.

If you picked a job that was completed six months ago, how much could you find out about it without speaking to the person who did it?

You might need to know which version of the procedure they followed, what checks and readings were recorded, what evidence was captured and whether anything unusual happened along the way.

In some businesses, that information is already part of the completed record. In others, it means searching through emails, folders, spreadsheets and old paperwork to piece the job back together.

A useful record should tell you everything.

We’re very happy to announce that WorkfloPlus v3 is now live in the RealWear App Marketplace!

This latest version keeps the same easy-to-use experience for the person wearing the device, but there’s now much more capability behind it.

Frontline users of WorkfloPlus on RealWear can now see Jobs containing multiple workflows, so they have a much clearer picture of all the work that needs to be completed rather than seeing each task in isolation.

The changes behind the scenes go much further. Work can now be created, scheduled and assigned, recurring activity can be managed and larger pieces of work can be organised into Projects. Completed work can then be reviewed, issues can be tracked and there’s a clear record of who did what, when and how the work was completed.

We’re really proud of this release because the new functionality gives WorkfloPlus much more depth without making things more complicated for the person actually doing the work.

Procedures get updated, but the old copies don’t necessarily disappear when a new version is published.

There might still be a PDF saved locally, a printed copy in a folder or an older version that someone emailed around months ago, and they can all look perfectly legitimate to the person who finds them.

That’s not usually a problem until you need to look back at a completed job and confirm exactly what instructions the person was following at the time.

For regulated work, being able to answer that matters, particularly if a procedure has changed since the job was completed.

WorkfloPlus keeps the current published version in front of the person doing the work, while the completed job keeps a record of the version they actually followed. So if you do need to check something later, you can see what was in place at the time without having to work it out from old PDFs, emails and paperwork.

Photos are useful evidence, but only if you know what they relate to.

If someone takes a photo during an inspection and it stays on their phone until later, it’s surprisingly easy to lose the context around it.

Which job was it for?
Which part of the equipment were they checking?
Was the photo showing a problem, or confirming that everything was OK?

The same applies to readings, notes and other evidence collected during a job.

Capturing it as part of the work means it stays connected to the job it came from. You know who captured it, when it was taken and what they were doing at the time.

It also means there’s less to sort out afterwards.

For teams carrying out large numbers of inspections, maintenance jobs or other repeatable work, that can make a big difference when somebody needs to look back at the record weeks or months later.

A procedure can be perfectly written, properly controlled and available to everyone who needs it.

There can still be a gap between the procedure and what actually happened on the job.

Once the work starts, things become more specific.

Was each required check completed?
What readings were taken?
Was anything outside the expected range?
Did the worker find something that needed attention?
What evidence was captured along the way?

Those details matter because compliance isn’t only about having the right process in place. It’s also about being able to show that the process was followed.

That becomes much harder when the evidence sits somewhere separate from the work.

A photo on somebody’s phone. A reading written down to enter later. An exception mentioned at shift handover. A signature added to paperwork at the end of the day.

The procedure may still have been followed correctly, but the record becomes harder to rely on.

When instructions, checks and evidence are part of carrying out the job, you don’t have to recreate that story afterwards.

You already have it.

A useful job record should make it easy to understand what happened without having to piece the story together afterwards.

What was actually carried out? What evidence was captured?
Did anything unexpected come up?
If something needed following up, is it clear what happened next?

That information exists while the work is being done. The important part is capturing it at the time, rather than leaving photos, readings, notes and issues to be added or chased later.

That gives the next person looking at the job much more useful context, whether that’s tomorrow, during an audit six months from now, or when the same piece of equipment needs attention again.

The record becomes part of the work, rather than another job to complete afterwards.

Compliance evidence is easiest to capture while the work is actually happening.

The person carrying out the job already has the useful information in front of them: what they did, the readings they took, the condition of the equipment, anything unusual they found and what needed to happen next.

Capture that as part of the job and you have a much clearer record to come back to later.

Leave it until afterwards and you’re relying on notes, separate files and people remembering the detail.

A useful compliance record should show more than whether the job was completed. It should give you enough context to understand what actually happened.

Most issues are spotted while someone is already doing something else.

A worn component during an inspection. A small leak during maintenance. A reading that doesn’t look right during a routine check.

At that point, it’s easy to mention it to someone and carry on. But if it isn’t recorded there and then, there’s a much greater chance the detail gets lost or nobody is quite sure what happened next.

With WorkfloPlus, an issue can be logged as part of the work being carried out, while the context is still clear. From there, it can be tracked rather than relying on someone remembering to come back to it later.

It’s not about creating another place for people to log issues. It’s about making sure the things they notice while doing the work don’t disappear afterwards.
