This week, Waterdog is at the PASBA Fall Management Conference! 🐾

If you run an accounting firm and you're attending, stop by our booth and say hi to Fred. We'd love to hear what's on your mind heading into tax season: remote staff, cyber insurance questionnaires, backups, all of it.

And yes, there will be giveaways.

Happy Halloween from the Waterdog crew! 🎃

Forget ghosts and zombies. Here's what really keeps IT people up at night:

👻 Passwords on sticky notes
👻 Former employees who can still log in
👻 Backups no one has ever tested
👻 PCs still running Windows 10 after Microsoft ended regular support
👻 The "we'll deal with it later" plan

If any of these are lurking in your office, we're happy to help you exorcise them. No drama required.

Quick math: what does one hour of downtime cost your firm?

Start with the people who can't work, times what they cost you per hour. Add the billable time you can't get back. Then add the part that's hardest to put a number on: the deadline you miss and the client who's left waiting.

Even a small team adds up fast. Ten people at $60 an hour is $600 an hour, before any of the rest.

Now picture a full day during tax season or quarter-end.

That's why we'd rather prevent problems than race to fix them. Monitoring, patching, and tested backups cost a lot less than a bad day.

Most ransomware attacks don't start with someone breaking in. They start with someone logging in, using a stolen password or an account with more access than it needed.

The good news: the defenses are well understood. Here's our 5-step plan:

1. Phishing-resistant sign-ins
2. Least privilege
3. Close known gaps
4. Detect threats early
5. Secure, tested backups

Drama-Free Tip Tuesday: the backup rule ransomware hates.

3 copies of your data
2 different types of storage
1 copy offsite

Then add one more layer: keep at least one copy offline or unchangeable. Modern ransomware goes looking for backups on your network, and it can't encrypt what it can't reach.

Last step, and the one most firms skip: test the restore. A backup you've never restored from is just a hope.

High Fives from our clients 🙌

Good IT advice shouldn't require a translator, and it shouldn't come with a list of things you don't need.

Thank you to Martin Lepper and the team at Lepper & Company for trusting us with the technology behind their accounting practice. Hearing that our advice fits the way they actually work is exactly what we're going for.

Practical. Proactive. No drama.

Ask Fred: "Do we really need MFA on everything?"

We hear this one a lot, usually from firms that have been burned by clunky logins before.

Fred's answer: on anything that touches client data or money, yes. A stolen password is one of the most common ways attackers get in, and multi-factor authentication means a password alone isn't enough.

If you're not sure where to start, go in this order:

1. Email, because it's the front door to everything else
2. Banking and anywhere payments are approved
3. Client portals and file sharing
4. Remote access

Yes, it adds a few seconds to your login. That's a pretty good trade for never having the worst day of your year.

Got a question for Fred? Leave it in the comments and it might be the next one he answers.

RIAs: the amended Regulation S-P now applies to every adviser. Larger firms had until December 2025, and smaller advisers (under $1.5B in AUM) had until June 3, 2026.

If your incident response plan lives in a binder nobody has opened since June, this is a good week to open it.

We put the key requirements into plain English:

• A written incident response program
• Customer notification within 30 days
• Vendor oversight, including 72-hour breach notice from service providers
• Records that prove all of it

Most of that runs straight through your technology. We're an IT and security partner, not a compliance firm, and our managed security is built to support what your compliance team needs.

Drama-Free Tip Tuesday: you can spot most phishing emails in about 10 seconds.

Before you click, reply, or pay, run the four-question check:

1. Is it urgent or emotional?
2. Is the sender address slightly off?
3. Is there a link or attachment you weren't expecting?
4. Is it asking for money, logins, or new payment details?

If the answer to any of them is yes, stop and verify by phone, using a number you already have. Never the one in the email.

Save this for your next team meeting. Sharing it takes less time than recovering from a fraudulent wire.

October is Cybersecurity Awareness Month, which is a polite way of saying the bad guys never take a month off.

So we're keeping it simple. Four weeks, four habits that keep your firm out of the headlines:

Week 1: Spot the phish
Week 2: Lock down logins
Week 3: Back up like you mean it
Week 4: Make sure your cyber insurance actually pays

Swipe through, save it, and send it to the person at your firm who clicks everything. (Every office has one.)
