The VST Suite application addresses diet and order change management across the entire process, from meal selection through tray delivery. “Exceptions” are used to identify and alert users when a patient’s diet change impacts selections or delivery.

Several features help staff identify and resolve Exceptions, improving selection accuracy and reducing tray waste:

Dashboard Views: Meals Your Way (MYW) and Trays Your Way (TYW) dashboards provide a visual queue (red highlight) to alert staff of order changes impacting selections. The highlight remains active until resolved.

Delivery Alerts: Staff are notified of patient order changes during tray assembly, cart loading, and delivery. Alerts indicate diet or allergen changes requiring review or a new tray, as well as discharges, transfers, or NPO orders.

Diet orders often account for approximately 25–30% of daily meal service changes, whether due to new patient diets, therapeutic updates, or discharges. Keeping up with meal orders and tray delivery presents ongoing challenges in accurately preparing trays, updating selections, and stopping meal service when needed.

The timing between orders and delivery varies by meal service type. Traditional meal selection is often completed a day in advance, or even weekly in extended care facilities. In room service operations, even a 45–60 minute turnaround can result in critical diet order changes.

Food waste costs are significantly impacted by trays prepared for discharged patients or returned due to major diet changes. Minimizing the impact of wasted trays remains a primary focus for foodservice operations.
